Job Description

Governance Support Officer
Location: Auckland, Wellington, or Christchurch 
Full-time | Permanent | Remote/Hybrid

Note: While this is a mostly fully remote role, we are seeking someone based in Auckland, Christchurch or Wellington, where Yoobee’s main campuses are located. This will allow for occasional campus-based work and allow for connection with key people across the organisation.

About the role

We’re looking for a highly organised and proactive Governance Support Officer to provide high-quality governance, administrative and coordination support across Yoobee.

Reporting to the Head of Quality, Risk & Academic Governance, you’ll help ensure our academic governance committees, Executive committees and wider organisational processes are well organised, accurate and completed on time.

Working closely with committee chairs, senior leaders and teams across the organisation, you’ll coordinate meetings, prepare agendas and papers, take professional minutes, maintain governance records and ensure agreed actions are followed through.

This is a broad organisational support role that will also provide flexible administrative, research and project support across areas including the Executive, Operations, Learner Success, Programme Development and Quality.

Your responsibilities will include:

  • Coordinating academic governance, Executive and other organisational committees.
  • Working with committee chairs to plan meeting schedules, agendas and priorities.
  • Preparing and distributing agendas, meeting papers and supporting documentation.
  • Attending meetings and producing clear, accurate and professional minutes.
  • Maintaining decision and action registers and following up with action owners.
  • Managing committee documentation and workflows through BoardPro.
  • Maintaining committee terms of reference, membership records and annual calendars.
  • Providing administrative, research and coordination support to the Executive team.
  • Preparing summaries, background information and briefing materials.
  • Supporting organisational reviews, audits, regulatory activities and external visits.
  • Maintaining accurate and accessible governance and organisational records.
  • Monitoring deadlines and proactively following up outstanding information and actions.
  • Coordinating business travel and accommodation when required.

Qualifications

About you

You’re an experienced administrator or coordinator who takes pride in keeping complex processes organised and moving forward. You’re comfortable working independently, engaging with senior leaders and following up actions professionally and persistently.

You’ll bring:

  • Previous experience in administration, coordination, governance support or a similar role.
  • Experience preparing agendas, coordinating meetings and taking professional minutes.
  • Strong organisational skills and the ability to manage competing priorities and deadlines.
  • Excellent written communication skills and close attention to detail.
  • Confidence working with senior leaders and stakeholders across an organisation.
  • The initiative to identify what needs to be progressed without detailed direction.
  • The ability to research unfamiliar topics and summarise information clearly.
  • Strong Microsoft Office skills, particularly Word, Outlook, Excel and PowerPoint.
  • Confidence using technology and AI tools to improve efficiency.
  • Experience with electronic document, committee management or workflow systems.
  • A high level of discretion when handling confidential or sensitive information.

Experience using BoardPro or a similar governance platform would be highly advantageous. Exposure to tertiary education, academic governance, quality assurance, compliance or another regulated environment would also be highly preferred.
