Viera Builders, Inc. has an opening for a full-time General Office Assistant who will be primarily responsible for serving as the first impression to visitors and guests. This role requires dependability, reliability and accuracy. This role also provides higher level administrative support for other departments within the organization. This position must be able to fulfill the following job duties:
- Answer and direct routine phone calls, directs visitors and assist with organizing meetings on calendars. Receive and sort mail deliveries as well as order and distribute office supplies/deliveries.
- Distribute Sub-contractor checks on a weekly basis which requires notarizing lien releases and verifying signer on Sunbiz. Must be capable of auditing and determining appropriate signers. Perform weekly and monthly Liens Release Audits as well as maintain all SunBiz and authorized signer documents.
- Input contract information into database. File sales contract and lien release documents. Ensure notarization of lien release documents is complete. Maintain Viera Builders Liens Outlook email address for all correspondence with Trades.
- Complete and mail utility rebate forms and customer surveys.
- Assist with closing documents and managing homeowner keys.
- Other administrative duties as directed by the Operations Managers and/or Director of Operations.
Requirements:
- High school diploma or equivalent. A minimum of one year as a receptionist in an office environment. Strong organizational and interpersonal competencies. Experience with Microsoft Office (Outlook, Word, Excel and Powerpoint). Must be capable of making independent decisions and using sound judgement within the scope of the job. Notary Public or able to obtain.
