Duties include but are not limited to
– Manage reception area, serving as the first point of contact and handling all incoming and
outgoing calls in a bright, professional manner.
– Assistant with daily gallery logistics, including preparing overnight shipments and messenger
deliveries, book reservations for appointments, receiving and distributing mail, ordering
supplies, and scheduling security guards.
– Assist the Gallery openings, special events and meetings, such as the preparation of
beverages, room reservations, press packets, catalogues, etc.
– Learn and recognize key industry figures, building a strong working knowledge of major
clients, artists, and colleagues.
– Interact professionally with gallery employees, interns, and clients at all levels.
– Update auction calendar and track relevant auctions.
– Assist the Publications Department with warehouse shipments.
– Manage the gallery database, ensuring all entries are accurate and consistently updated.
– Prepare gallery finance reports, maintain credit card receipts, and review and pay shipping
invoices.
– Maintain a clean and tidy reception area.
– Mentor and oversee gallery interns, ensuring they are integrated into daily workflows and
supported in their professional development.
– Assist staff with ad hoc projects as requested.
