The Role:
- The Ultimate Host: Welcome employees, clients, and visitors throughout the day. You set the tone for the office, fielding inbound calls and managing the receipt and disbursement of all deliveries—from high-stakes packages to vendor goodies—with efficiency and grace.
- Environmental Stewardship: Maintain the appearance of the front office, kitchen, breakroom, and all common areas. You take ownership of the space, ensuring it is always client-ready and reflects the high standards of the agency.
- Logistics & Inventory Management: Own the upkeep of multiple inventories, including office supplies, coffee, and pantry essentials. You manage the stock room and place orders proactively to ensure the office engine never stops running.
- Vendor & Facility Liaison: Manage relationships with company vendors, ensuring COIs are up-to-date and coordinating with facility management for cleaning, catering, inspections, and security services.
- Meeting & Activity Coordination: Manage conference room requests and mitigate scheduling conflicts with ease. You play a key role in the planning and coordination of in-office and off-site activities, ensuring our culture remains vibrant and connected.
- Employee Experience: Serve as a primary resource for employee queries and office FAQs. You welcome new employees with comprehensive office tours and arrange desk availability for visiting colleagues from our other national offices.
- IT & Operations Support: Assist with the shipping and receiving of IT hardware for new, current, and departing employees, ensuring the onboarding and offboarding process is handled with total precision.
- Relationship Driven: You recognize that a great office culture is built on trust and helpfulness. You lead by example in every interaction—prioritizing integrity, transparency, and a solution-oriented attitude in all that you do.
Who You Are:
- The Organizational Expert: You have previous experience in office management, administrative support, or front office operations. You are detail-oriented and able to excel at managing multiple projects simultaneously without missing a beat.
- A Natural Communicator: You possess great written and verbal communication skills. You welcome questions and enjoy being the person the team turns to for support and information.
- Tech Savvy: You are proficient in MS Office Suite and Zoom, and you have a solid understanding of general administrative responsibilities and office technology.
