About the Role
Redhorse is seeking a dedicated Front Office Manager to support the Chief Digital and Artificial Intelligence Office (CDAO) executive operations, staff coordination, and organizational effectiveness across the front office. In this role, you will help reconstitute and manage key office processes, align internal workflows with higher headquarters guidance, and improve day-to-day coordination across subordinate offices and staff elements.
Working closely with CDAO leadership, you will serve as a central integrator between leadership priorities and staff execution, ensuring actions are organized, information is accessible, and office processes remain efficient, consistent, and responsive. This role requires strong communication skills, organizational discipline, and the ability to guide teams through process improvements in a collaborative and mission-focused manner. Basic familiarity with generative AI productivity tools is highly valued to support drafting, meeting support, knowledge organization, and staff efficiency.
Key Responsibilities
- Front Office Operations and Process Reconstitution: Lead the review, assessment, and reconstitution of front office documentation, schedules, trackers, and administrative workflows left incomplete, dispersed, or inconsistently maintained. Establish a clear baseline for recurring office functions and develop a practical path forward for sustained execution and continuity.
- Headquarters Alignment and Governance Support: Align front office processes and administrative practices with higher headquarters frameworks, established governance expectations, and office procedures. Ensure internal workflows support consistency, accountability, and visibility across the organization.
- Staff Coordination and Action Management: Serve as the bridge between leadership direction and day-to-day staff execution. Coordinate actions across subordinate offices, track suspenses and follow-ups, facilitate communication among stakeholders, and help synchronize recurring deliverables, meeting outputs, and office priorities.
- Information Organization and Administrative Structuring: Organize office files, shared repositories, reference materials, and document structures to improve searchability, retrieval, continuity, and usability. Help establish logical folder structures, naming conventions, and basic metadata practices that support efficient staff operations and reduce information fragmentation.
- Records Coordination and Content Pruning: Partner with staff elements to identify active materials, historical records, and redundant, obsolete, or trivial content. Support the application of basic federal records management concepts to improve compliance, reduce clutter, and strengthen the organization of front office holdings prior to transition, archival, or restructuring efforts.
- Change Management and Staff Enablement: Guide personnel through updated processes with empathy, patience, and a collaborative approach. Draft clear instructions, status updates, process guides, and training support materials that help teams understand expectations and adopt improved workflows with minimal disruption.
- Productivity Tool Utilization: Apply basic familiarity with generative AI and other productivity tools to draft communications, summarize meetings, organize training content, and support efficient front office operations in accordance with approved practices.
Required Experience
- US citizenship with an active Department of War (DoW) Top Secret (TS) security clearance and access to Sensitive Compartmented Information (SCI).
- Bachelor’s degree and 8+ years of related experience.
- Demonstrated experience in front office management, executive support, staff coordination, or administrative operations.
- Strong organizational skills and ability to manage multiple actions, deadlines, and competing priorities in a high-visibility environment.
- Strong interpersonal and communication skills, including the ability to listen to concerns, coordinate across teams, and guide personnel through process changes.
- Ability to draft clear, concise instructions, status updates, and staff communications.
- Basic knowledge of or familiarity with federal records management concepts, including the distinction between temporary records, permanent records, and non-record materials.
- Basic familiarity with generative AI productivity tools such as ChatGPT, Microsoft Copilot, or similar tools to support administrative and organizational tasks.
- Ability to operate effectively as a coordinating “bridge” between leadership priorities and user or staff needs rather than as a deep technical specialist.
Desired Experience
- Prior experience supporting a military, DoW, or federal headquarters office transition.
- Experience coordinating project handoffs or assuming responsibility for work mid-lifecycle.
- Experience supporting office modernization, workflow standardization, or administrative governance initiatives.
- Familiarity with DoD365, SharePoint Online, Microsoft Teams, or enterprise collaboration tools used for staff coordination and information management.
Skills Required
