Responsibilities of Front Office Executive

The FOE is responsible for delivering an integrated experience, serving as a singular point of contact at the reception, and offering tailored support to both our internal users and external visitors. This includes assisting with inquiries, providing directions, and facilitating various needs to ensure a positive experience. Additionally, a crucial aspect of this role involves maintaining up-to-date information regarding floor layouts and all events hosted across our various sites. This will enable the FOE to efficiently guide and assist individuals, contributing significantly to the overall operational flow.

  • Welcome Customers: Front office executives greet everyone who enters the establishment, creating a positive interaction that reflects well on the employer.
  • Provide Service: Known for their helpfulness and knowledge of the facility, front office executives’ direct people where to go. Closely working with all ABP’s & BU POC for visitor management, Stakeholder & visitor Management.
  • Managing GEMS Tools for events & Tech Talk rooms booking calendar.
  • Cultivate strong, strategic relationships with internal and external stakeholders to facilitate smooth operations and exceptional support.
  • Provide a welcoming approach to all visitors, accommodating the visitors, identifying the host, and facilitating collection. This includes logging in and out any client visitors and/or referring them to the relevant Client host.
  • Issue entry passes and provide visitors with a clear and comfortable understanding of the rules governing access to the host or the building..
  • Regular reconciliation of all access cards and badges issued to visitors/employees and clients.
  • Provide precise information about building structure, emergency exit, and daily client visits or events being hosted at site location.
  • Manage the Front Office in the most professional manner, directing and coaching staff to ensure a pleasant experience for all visitors/clients.
  • Have prior information about arriving clients/visitors and ensure all necessary arrangements are done as per requirements.
  • Check the cleanliness of the lobby, lifts, and public areas, lights, and ensure front office staff are in proper grooming and behavior.
  • Ensure training of front office staff on VMS process and policy.Ticket Management - assigning to the concerned team to follow up , do the  resolution if needed.

You will be the Site Manager’s trusted right hand on all facilities-related activities. You’ll do this by performing routine site inspections to ensure all building processes and best practices are implemented and maintained.  Where can processes be improved?  How can we save costs?  These are questions that will be at the forefront of the team’s thinking.  You, too, will always have an eye on this, contributing suggestions as they arise.

You’ll also lend the team a big hand by providing admin support including front desk duties, basic housekeeping and appointment coordination.  You’ll need to ensure we hit key performance indicators and meet our service level agreements.

You’ll also be expected to follow escalation and incident reporting procedures and comply with the firm’s guidelines and strategies.
