ABOUT THE ROLE:
As Front of House, you will be supporting the Office Manager in the smooth running of the office and client and internal events. Due to the nature of the role, you will be required to be in the studio five days a week from 8.30am to 5.30pm.
Your main duties and responsibilities will include:
Front of House
- Setting up the studio each day, including handling milk and fruit deliveries.
- Conducting daily studio checks to ensure everything is in good working order and reporting any issues to the Office Manager.
- Ensuring the reception and communal areas remain presentable at all times.
- Holding weekly meetings with the Office Manager to discuss workflow for the week.
- Creating and circulating a weekly schedule of events to key people in the agency.
- Dressing Front of House for events (e.g. Easter, Christmas, Pride).
- Meeting and greeting clients and visitors, organising refreshments, and announcing arrivals to relevant team members.
- Regularly liaising with Client Services regarding meetings and workshops, supporting them with refreshments and recommending suitable food outlets aligned with business core values.
- Setting up client workshops and meeting rooms, ensuring correct equipment is in place and refreshments are served, and all areas are presented to a consistently high standard.
- Answering calls and ensuring messages are passed to the appropriate people in a timely manner.
- Ensuring appropriate messages are set on the Bulletproof phone when the office is closed.
- Liaising with building security regarding visitors and deliveries.
- Checking, sorting, and distributing deliveries and post.
- Booking couriers and overnight deliveries.
- Creating and compiling the agency’s internal monthly newsletter.
- Staying up to date with restaurants and bars in Covent Garden, working with the Office Manager to build a recommendations list for clients and visitors.
- Renewing the annual TV licence for the business Facilities.
- Ensuring crockery and utensils are in good working order and liaising with the Office Manager prior to ordering new supplies.
- Regularly monitoring meeting rooms to ensure they are tidy. Informing the Office Manager of any furniture requiring repair or steam cleaning and notifying IT of any faulty equipment.
- Ordering food, drinks, milk and groceries for the agency. Ensuring kitchens are fully stocked and regularly replenishing the tea and coffee drinks stations and drinks fridges throughout the day, including purchasing ad-hoc items when stock is low.
- Ensuring bathrooms are stocked with essential items ie. toilet paper, hand soap, air freshener and monitoring stock of Soapsmith products.
- Monitoring office cleaning standards to ensure all tasks are completed to a high standard, liaising closely with the Office Manager and reporting any damages or repairs.
- Supporting the People team with the onboarding of new joiners, ensuring they are well looked after and receive a full office induction on their first day, including security procedures for accessing and leaving the agency/building.
- Supporting the Office Manager by staying up to date with local area matters within the local area, including attending the Heart of London meetings.
Events & Catering
- Working closely with the Office Manager to organise internal events, including monthly welcome breakfasts, Thursday drinks, birthday spreads, and creative workshops (e.g. Christmas wreath making), as well as supporting the organisation of the summer party, Christmas party, and the annual Bulletproof Kids Christmas Party.
- Working closely with Client Services to ensure all client events run smoothly through clear and regular communication.
- Managing the senior team birthday calendar and arranging cakes for key birthdays liaising with the Executive PA’s.
- Being an active member of the Culture Crew, supporting the delivery of internal events.
