The Role
Provide front-desk administrative support for a behavioral health clinic: answer phones, confirm and schedule appointments in eCW, check in patients and update demographics/insurance, scan and manage confidential documents, collect copays, maintain supplies and equipment, monitor waiting area, and support staff and providers. Attend trainings and perform other duties as assigned.

· Answer all incoming calls and manage department voicemail system

· Call patients to confirm their appointment for the next day

· Schedule and monitor all appointments for new admissions in eCW

· Reschedule “No-Show” appointments for medical and mental health providers 

· Cancel and reschedule all appointments when providers call out

· Check-in each patient, review, and update demographic information including insurance and structured data

· Monitor waiting area and wait times for patients

· Scan charts for new admissions into appropriate folder in eCW

· Scan outgoing/incoming confidential documents including outreach letters and discharge paperwork

· Collect copayments and issue receipts

· Distribute and maintain metro card bank

· Monitor inventory, order office supplies, and maintain office equipment in operating condition

· Adhere to all regulations including agency, state and federal

· Maintain good working relationships with staff, patients, and visitors

· Attend meetings and trainings as directed by Program Director

· Perform other duties as assigned by Program Director

Requirements

  

· High School Diploma or General Equivalency Diploma

· Knowledge of behavioral health services/addiction treatment

· Minimum 2 years work related experience 

· Strong communication, interpersonal, and organizational skills

· Must be able to read, write, and speak English

· Ability to speak, read, and write Spanish preferred
