Responsibilities
- Greet and check-in visitors while ensuring a clean, well-organized reception area
- Professionally manage and direct incoming calls with efficiency and courtesy
- Process and distribute incoming and outgoing mail, packages, and facsimiles promptly
- Provide comprehensive administrative support to employees and customers, including document filing and organization
- Assist the Vice President, Human Resource Manager, and other departments as needed
- Review and process employment applications, forwarding them to HR for further consideration
- Capture new hire photos and create employee badges for identification
- Accurately track and update vacation days in the system as required
- Maintain office supply inventory, placing orders as needed to ensure availability
- Schedule and coordinate conference room reservations for meetings and company events
- Prepare essential documents, including shippers, purchase orders, and correspondence
- Support company event planning by organizing logistics, ordering food, and procuring necessary supplies
- Perform additional administrative tasks and responsibilities as assigned
- High School Diploma or GED equivalent required
- Preferred experience in front-office operations, scheduling, and administrative support
- Proficiency in Microsoft Office (Word and Excel); formal training is a plus
- Exceptional written and verbal communication skills
- Strong interpersonal skills to engage professionally with employees and customers
- High accuracy and attention to detail in administrative tasks
- Highly reliable, dependable, and consistent in performance
- Strong organizational skills with the ability to prioritize and manage multiple responsibilities efficiently
- Capability to multitask effectively in a fast-paced environment
- Only United States citizens can be considered
- Experience working in a dynamic, fast-paced setting
- Familiarity with manufacturing or engineering environments
- Knowledge of HR or Accounting processes, including vacation tracking and onboarding support
- Monday–Friday: 7:00 AM – 4:00 PM
- Additional overtime hours as needed based on business demands
