About the Role

The Front Desk & Personal Lines Assistant plays an important role in supporting day-to-day agency operations. This position is responsible for managing front desk activities, greeting visitors, answering incoming calls, processing mail, and assisting with administrative tasks that help keep our office running smoothly.

In addition, the role provides support to our Personal Lines Account Managers by assisting with policy-related processing, documentation, data entry, and service requests behind the scenes. This position does not provide licensed insurance advice or discuss coverage and policy changes with clients, making it an excellent opportunity for someone with strong customer service and administrative skills who is interested in the insurance industry.

What You’ll Do

  • Serve as the first point of contact for clients, visitors, and business partners by providing a welcoming, professional experience and delivering responsive customer service through phone, email, and other communication channels.

  • Support Personal Lines Account Managers with policy-related administrative tasks, including renewals, billing inquiries, payments, ID cards, cancellations, and reinstatements.

  • Review customer accounts, process updates, and maintain accurate records of client interactions and policy activity.

  • Prepare, process, and distribute policy-related documents, correspondence, and other agency communications.

  • Follow up on outstanding service items to help ensure timely resolution and an exceptional client experience.

  • Utilize agency management systems, carrier platforms, and other technology to efficiently complete service requests and daily tasks.

  • Provide administrative support through filing, scanning, photocopying, data entry, document management, and coordinating incoming and outgoing mail, packages, and shipments.

  • Assist with office operations by processing daily deposits, maintaining office supplies and common areas, running occasional business errands, and supporting special projects and other duties as assigned.

  • Provide occasional support for Commercial Lines servicing activities, including policy changes, payments, certificates, and ID cards.

  • Collaborate with team members and agency leadership to support agency operations and client service goals.

Job Requirements / Competencies

  • Property & Casualty license preferred, but not required.

  • Strong customer service, communication, and relationship-building skills.

  • Ability to prioritize tasks and manage multiple service requests efficiently.

  • High attention to detail and commitment to accuracy and compliance.

  • Positive attitude and team-oriented mindset.

  • Insurance experience preferred, but candidates with strong administrative or customer service backgrounds are encouraged to apply.
