About the role
We are seeking a proactive, detail-oriented Front Desk Manager to own the daily operations and front-of-house experience of our Sunnyvale office. This role is responsible for opening the office each morning, keeping shared spaces clean and meeting-ready, greeting employees and visitors at the front desk, and coordinating the day-to-day logistics, from lunch orders to office supplies, that keep the team running smoothly.
This is a highly visible, hands-on role for someone who takes ownership of the details, is comfortable juggling a wide range of responsibilities, and enjoys creating a well-run, welcoming workplace.
What you'll do
- Manage the front desk and provide reliable on-site coverage from 8:30 a.m.–5:30 p.m.
- Welcome and assist employees, candidates, customers, vendors, and other visitors.
- Manage visitor registration, badges and meeting-room coordination.
- Own incoming and outgoing mail, packages, equipment shipments, and courier coordination.
- Support the day-to-day operation of the office, including supplies, conference rooms, kitchens, maintenance requests, and vendor coordination.
- Coordinate and set up communal lunches, including catering, delivery, setup, and cleanup.
- Prepare conference rooms and common areas for company meetings, customer meetings, interviews, executive visits, and employee events.
- Support company-wide meetings, team events, celebrations, and other workplace activities.
- Assist with employee onboarding and offboarding, including workspace preparation and badges.
- Provide administrative and operational support to the teams as needed.
- Proactively identify office needs and help ensure the workplace remains organized, welcoming, and well maintained.
Required Qualifications
- Bachelor’s degree preferred.
- 2+ years of experience in office management, workplace operations, corporate reception, administrative support, hospitality, or a related role.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Professional presence and strong interpersonal skills.
- Ability to manage multiple priorities and respond effectively to changing needs.
- Proactive and service-oriented approach with strong ownership and follow-through.
- Proficiency with standard business tools such as Microsoft Office, Slack and Jira.
- Ability to work independently and collaborate effectively across teams.
- Reliable availability to work on-site Monday through Friday from 8:30 a.m.–5:30 p.m.
- Ability to lift and move packages and office supplies weighing up to approximately 30 pounds.
Preferred Qualifications
- Bachelor’s degree in business, communications, hospitality, operations, or a related field.
- Experience in a technology, engineering, semiconductor, robotics, or startup environment.
- Experience coordinating catering, office events, meetings, vendors, and workplace services.
- Experience with shipping, receiving, visitor-management, or workplace-management systems.
