We are seeking a highly organized, professional, and customer-focused Administrative Assistant / Front Desk Coordinator to support the daily operations of a homeowners' association management office. This position serves as the first point of contact for residents, vendors, and visitors while providing administrative support to managers and the administrative team. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and possesses excellent communication and organizational skills. $20-25 Hour

Key Responsibilities
  • Answer and direct incoming phone calls promptly and professionally.
  • Greet residents, homeowners, vendors, and visitors.
  • Manage incoming mail, distribute correspondence, and process checks and invoices.
  • Monitor emails, phone messages, and maintain accurate records.
  • Schedule homeowner orientation appointments and prepare required documentation.
  • Maintain homeowner, vendor, and association filing systems.
  • Keep calendars, meeting notes, and office records organized and up to date.
  • Assist managers and the administrator with assigned projects and daily administrative tasks.
  • Monitor and replenish office and breakroom supplies.
  • Open and close the front office, ensuring the office is secure at the beginning and end of each business day.
  • Provide exceptional customer service while maintaining confidentiality and professionalism.
Qualifications
  • Previous administrative, receptionist, or office support experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient with Microsoft Office (Outlook, Word, Excel).
  • Ability to prioritize tasks and work independently.
  • Professional appearance and positive attitude.
  • Strong attention to detail and customer service skills.
Preferred Skills
  • Experience working in property management, community associations, or a professional office environment.
  • Ability to manage multiple priorities in a fast-paced setting.
  • Comfortable interacting with homeowners, vendors, board members, and staff.
