POSITION PURPOSE

We are seeking a dynamic and dedicated Front Desk Office Coordinator to join our top-tier Oral Surgery Practice. As our Front Desk Coordinator, you are the face of our practice. This isn't just a receptionist role, you are a critical facilitator of our daily patient flow and clinical schedule. Working closely with our experienced administrative team, you will ensure our digital check-in systems run flawlessly and our patients feel genuinely cared for.

We don’t just manage patients; we curate an exceptional, seamless experience from the moment they first connect with us. We are looking for a tech-savvy, warm, and highly organized professional to join our administrative team.


PRINCIPAL RESPONSIBILITIES AND DUTIES

  • The Patient Experience: Warmly greet patients, manage a smooth digital check-in process, and maintain an inviting reception environment.
  • Digital Intake Management: Oversee our online registration platform, ensuring all patient files, demographics, and referral details are complete and compliant prior to arrival.
  • Communication Hub: Answer incoming inquiries with exceptional professionalism, route calls effectively, and manage correspondence with referring dental offices.
  • Team Collaboration: Work closely with other professionals to form a highly effective team, handling administrative tasks seamlessly.
  • Versatility and Adaptability: Embrace a wide range of responsibilities and opportunities for learning and growth within the practice.

MINIMUM QUALIFICATIONS

  • Patient-Centric Attitude: Genuinely serve our patients at every level, enhancing patient satisfaction and increasing office efficiency. 
  • Positive Impact: Positively influence patients, coworkers, referring offices, and the practice as a whole.
  • Educational Background: Completion of high school or equivalent is required.
  • Experience Preferred: Previous oral surgery, dental, or medical experience is preferred.
  • Administrative Skills: Proven administrative experience with a track record of growth or improvement within previous positions.
  • Multitasking Ability: Demonstrated ability to multitask and be a self-starter in a fast-paced environment.
  • Customer Service Expertise: Experienced with customer service techniques, ensuring a superior patient experience.
  • Communication Skills: Superior communication skills, both verbal and written, are essential for effective interaction with patients and team members.
  • Adaptability: Willingness to take on other duties as assigned and adapt to the evolving needs of the practice.
 

KEY SKILLS

  •  

    Tech-Savvy: Comfortable navigating practice management software (OMSVision or similar software experience is highly valued) and operating in a modern, chartless environment.

  • Hospitality Mindset: A natural ability to build rapport quickly, show deep empathy, and deliver a five-star service experience to anxious patients.

  • Reliability:  Punctuality is essential, as our day begins promptly at 7:00 AM to prepare for our first patients.
