We are looking for a Freelance Executive Assistant to Executive Chairperson
In this dynamic role, you will be supporting Markus Witte, Executive Chairperson and Co-Founder and long-term CEO of Babbel, assisting in aspects of board management and his day-to-day scheduling.This is a part-time role on a freelance basis (approx. 5-8h per week plus additional workload around the quarterly board meetings).
You will:
- Run the Board Management, together with the Executive Chairperson
- Project Management of Board Meetings (quarterly), including project planning, briefing of stakeholders, coordination with main stakeholders (Executive team and other senior leadership, Legal team, Committee chair(wo)men) for pre-read materials and board meetings, assembling final materials & managing send-outs to board
- Ensure compliant documentation
- Schedule and coordinate virtual and in-person Board and Committee meetings
- Create meeting timelines, prepare and distribute meeting notification and materials, as well as subsequent updates or changes
- Manage EC’s work, schedule and contact within the company
- Schedule appointments and maintain Chairman's travel calendar
- Liaise with CEO office, Executive team and Board to ensure frictionless operation
- Keep an eye on priorities and tasks
- Manage EC’s external appearances:
- The EC acts as a representative for Babbel to the outside - by giving interviews and talks or attending events
- Coordinate with PR and support with preparation
You have:
- Excellent organizational and project management skills: prioritization, time management, follow through, and staying informed with organizational initiatives and priorities.
- Positive and supportive attitude. Open, honest and human in interactions.
- Strong understanding of corporate governance and a grasp of venture-funded startups.
- Highest standards in reliability and conscientiousness.
- A go-getter with a learning mindset: Attention for detail, strong and independent solution-oriented thinking, ability and desire to give and receive constructive feedback
- Drive to understand and learn rather than execute blindly.
- Willingness to work on eye-level, ask questions and provide feedback regardless of status and role.
- Good tech skills and interest to use new tools and setups.
- Experience in managing different levels of stakeholders.
- Excellent communication skills in English, German is a plus.
