The facilities coordinator will be responsible for;
- Assisting the Estates Manager in developing a close working relationship with all contractors.
- Providing administrative support to the Estates Manager & FM team as required and deputises in their absence.
- Attending Client, Contractor, and Tenant’s meetings, taking minutes
- Ensuring compliance with the FM policies and procedures.
- Key log Management - Issuing & Returning
- Utilities - Complete a Change of Tenancy for all vacant units as required.
- Utilities – Providing Alfa with updated information on Meter Numbers, Serial Numbers and Submitting Reading
- Arranging access/ informing tenants of landlords works/ access to units
- Issuing PO/work orders and process/ approving Invoicing for the Site
- Managing contractors working on site and manage the Permit to Work System/ boundary agreement
- Maintaining the Site Health & Safety system.
This is a part time role: 3 days per week 9.00am - 5.30pm. The salary will be pro-rated from the full time salary advertised

- Promotes a high level of satisfaction among occupiers and clients by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors through dispatch, voice mail and/or other direct contact.
- Provides support to the Estates Manager and deputises in their absence
- Ensure compliance after training with MAPP to standards of policies and procedures established for the portfolio.
- Communicate with occupiers and clients in a courteous manner and be willing to assist where able, acknowledging your role as the first line site ambassador and reflecting the clients image through correct quality service.
- Meet and greet visitors to site in a professional, courteous and efficient manner and receive calls and callers in a timely and professional manner
- Monitoring statutory and internal compliance, including meeting MAPP policies and procedures, RICS and ISO standards and any statutory timelines and escalation requirements
