Position Overview:The Fluid Analysis Administrative Assistant provides essential clerical, customer service, and operational support within a fast‑paced laboratory environment. This role ensures the efficient registration and processing of samples, supports laboratory workflow, and maintains accurate administrative and quality‑related documentation. Acting as a primary point of contact for customer and internal inquiries, the Administrative Assistant delivers professional, timely assistance to customers, suppliers, visitors, and laboratory personnel.

Job Description:

Customer Service & Inquiry Management

  • Greet, welcome, and assist customers, suppliers, visitors, and internal personnel; act as the primary point of contact for oil lab status inquiries and general inquiries; direct inquiries to appropriate personnel.

Administrative & Clerical Support

  • Perform data entry, maintain documentation, organize and file records, send and receive mail, and support general office functions to ensure efficient laboratory operations.

Sample Registration & Lab Workflow Support

  • Support laboratory personnel by coordinating sample registration, ensuring timely flow of samples through the lab, and maintaining accuracy in data processing.

Quality System & Process Support

  • Identify and record qualityrelated issues, participate in implementing corrective actions, maintain records of quality certificates, and enter customer feedback into the internal quality system.

Procurement & Invoicing

  • Create and receive supplier purchase orders for laboratory supplies and process customer invoices as required.

Education & Experience:

  • Minimum 1 year of office and customer service experience.
  • Post‑secondary diploma in Office Administration or a business‑related field is an asset.
  • Experience in a fast‑paced, customer‑focused environment preferred.
  • Strong data entry accuracy and speed.
  • Excellent verbal and written communication skills.
  • Professional customer service and interpersonal skills
