Flights and Accommodation Coordinator
Location: Head Office, Balcatta
Employment Type: Full-Time | 9-Month Max Term Contract| staggered start, rostered hours from 7.00am to 5.00pm
As cover for an internal secondment, Sodexo is seeking an experienced Flights and Accommodation Coordinator to join our team on a 9-month max term contract. This role reports to our Travel and Accommodation Team Leader and is based at our Head Office in Balcatta.
You will bring proven experience managing large volumes of travel and accommodation bookings, with the ability to efficiently and accurately handle new reservations, modifications, and cancellations. Your expertise in resolving challenges such as missed flights and travel credits will be essential to delivering seamless travel experiences for Sodexo employees, subcontractors, and service partners.
Key Responsibilities:
- Efficiently coordinate flight bookings and room rostering for site-based employees, managing large volumes with accuracy
- Administer travel arrangements, handling frequent changes, cancellations, and emergency requests with agility and professionalism
- Monitor and resolve issues related to missed flights or no-shows, investigating causes and implementing cost-effective solutions
- Maintain comprehensive travel records and documentation for reporting and audit purposes
- Provide prompt, clear communication to internal and external stakeholders regarding travel updates and adjustments
- Collaborate closely with site managers to minimise travel disruptions and associated costs through proactive coordination
- Lead efforts to continuously improve travel booking processes, ensuring consistency and adherence to company standards
About You:
You excel in fast-paced environments where managing numerous simultaneous travel bookings and last-minute changes is the norm. Your exceptional organisational skills and attention to detail enable you to maintain control and accuracy, even under pressure.
Skills and Experience:
- Strong organisational and time management skills, with the ability to prioritise and multitask effectively
- Proficiency in Microsoft Office, particularly advanced Excel skills
- Experience with travel booking software including INX
- Excellent communication skills, both written and verbal, enabling clear and timely stakeholder engagement
- Ability to remain calm and solution-focused when handling urgent travel issues
