General Summary: Under the direction of the Fiscal Services Manager, perform a broad range of accounting and budgetary functions in accordance with organization policies and all applicable federal and state requirements. This position provides support across purchasing, accounts payable, accounts receivable, payroll, budget and general ledger activities, including journal entries, accruals, allocations, account analysis and reconciliations.

ESSENTIAL FUNCTIONS:

· Assists with cash receipt processing, account reconciliations, and year-end closing activities to ensure accuracy, completeness, and compliance with fiscal reporting requirements.

· Collaborate with Human Resources, Payroll, and Fiscal Services staff to ensure accuracy of position control setup and maintenance

· Review vendor requisitions and direct payments for appropriate coding and available budget

· Initiate journal entries and budget transfers

· Collaborate and provide a variety of information and technical guidance (training) to the home office, school site, and other personnel regarding budgets, purchasing, payroll processes, and related information

· Responds to external auditors by providing requested accounting and budget data

· Reviews payroll prior to submission to external payroll provider

· Reviews coding and posts online payments

Qualifications

QUALIFICATIONS

Knowledge of:

· Principles, practices, and terminology of budgeting, accounting, and financial record keeping, preferably as they apply to California school accounting.

· Auditing and financial research and analysis procedures.

· Budget preparation and administration.

· Account number structure and correct use of object codes.

· Computer-based software programs that support this level of work, including but not limited to word processing, spreadsheet, presentation graphics, and data entry onto custom databases.

· Data processing systems and applications in the field of budgeting and accounting.

· Financial record-keeping techniques.


Ability to:

· Apply policies and procedures to the assigned duties and responsibilities of the position.

· Communicate clearly, concisely, and effectively in speaking, reading, and writing, including professional correspondence.

· General ledger maintenance and monitoring.

· Maintain accurate financial records.

· Make sound decisions necessary in the function of the position.

· Maintain consistent, punctual, and regular attendance.

· Operate a computer and assigned office equipment; use a variety of computer software programs, including but not limited to Escape Technology, Google Sheets, Google Forms, Google Docs, Microsoft Office, Excel, Word, and PowerPoint.

· Pay attention to detail.

· Plan, prioritize, and organize work to meet schedules and timelines.

· Prepare and process financial, accounting, and purchasing reports, documents, records, and materials.

· Process and record accounting transactions accurately. Detect and correct errors or omissions.

· Travel/drive to various sites, including San Bernardino.

· Understand and follow oral and written instructions.

· Use tact, patience, and courtesy.

· Communicate and work effectively with staff, the public, and outside agencies.

· Work confidentially and exercise discretion.

· May work an occasional evening and/ or weekend.

· Carry out all aspects of the position professionally.

· Multi-task without errors.


REQUIRED EXPERIENCE AND EDUCATION:

Formal and informal education at a level sufficient to provide the ability to understand and perform duties comparable in complexity to those listed herein. Charter or school district business office experience preferred.


WORKING CONDITIONS: The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position will include office and school site environments.


Physical Abilities:

· Visual acuity and depth perception to read a variety of materials and inspect work in progress.

· Sufficient hearing to conduct conversations in person and over the telephone.

· Normal physical strength and endurance for standing, sitting, bending, reaching, walking, and lifting and carrying of lightweight materials.

· Hand/eye coordination and manual dexterity to keyboard 10-key, operate a telephone, and business office machines.

· Physical, mental, and emotional stamina to endure long hours under sometimes stressful conditions.

· Speaking in an understandable voice with sufficient volume to be heard in normal conversational distance and on the telephone.

· Criminal Justice/Fingerprint Clearance

· TB Clearance


This position includes 100% employer-paid medical, dental, and vision coverage for the employee and eligible dependents. Additional benefits are also available.

This is a 12-month position and includes the following paid time off and leave benefits:

  • 12 vacation days annually (accrued at 1 day per month)
  • 2 floating holidays per year
  • 96 hours of sick leave annually
  • 1 week paid Thanksgiving break
  • 2 weeks paid Winter break
  • 1 week paid Spring break

Skills Required

  • Knowledge of principles, practices, and terminology of budgeting, accounting, and financial record keeping
  • Knowledge of California school accounting (preferred)
  • Auditing and financial research and analysis procedures
  • Budget preparation and administration
  • Understanding of account number structure and correct use of object codes
  • Experience with computer-based financial software and data processing systems
  • Familiarity with Escape Technology
  • Proficiency with Google Sheets, Google Forms, Google Docs
  • Proficiency with Microsoft Office applications (Excel, Word, PowerPoint)
  • General ledger maintenance and monitoring, journal entries, accruals, and budget transfers
  • Cash receipt processing, account reconciliations, and year-end closing activities
