Job Summary / Basic Function

The Financial Aid Operations Assistant serves as the primary point of contact for the office in a fully in person position, greeting all visitors and ensuring that incoming emails and digital inquiries are handled accurately, professionally, and promptly. This role is responsible for maintaining a welcoming environment, managing high-volume phone calls, monitoring lobby security, and coordinating essential day-to-day administrative tasks.

Minimum Qualifications

  • High School Diploma or GED
  • Two years of customer service or front desk/reception experience.

Key Responsibilities & Job Duties

  • Administrative Processing: Handle the intake and initial processing of all outside resource funds and scholarships. Handling tasks assigned within PowerFAIDS. Completing financial aid forms submitted by students and family members. Learning Slate processes. Review and handle updates to Cost of Attendance adjustments submitted. Handle health insurance form, submissions, and adjustments to aid with Student Accounts team. Works with Student Accounts team to update QB Cost of Attendance with music scholarships each term.
  • Visitor Reception: Welcome students, families, and guests in a warm, professional, and friendly manner; maintain a polished and inviting front desk environment.
  • Communication Management: Manage the primary office phone line and facilitate professional, timely correspondence via email and online inquiry systems. Serve as primary user for updating Davidson College Financial Aid webpages. 
  • General Advisory Support: Answer general financial aid questions and efficiently route visitors or callers to the appropriate staff member for specialized assistance.
  • Traffic & Flow Control: Monitor the lobby and reception area to assess visitor flow and ensure seamless, organized customer experience.
  • Operations & Facilities Support: Maintain a strong working knowledge of core office operations and manage the physical office space, including submitting building work orders.
  • Collaborative Teamwork: Work collaboratively with financial aid staff, managers, and other campus departments to support overall student success.
