Position Summary:
Florida Atlantic University is seeking a Financial Aid Fiscal & Personnel Operations Coordinator - Boca Raton, FL.
The Financial Aid Fiscal & Personnel Operations Coordinator serves as a central resource for fiscal, personnel, and administrative operations within the Office of Student Financial Aid. This position supports strategic decision-making through financial analysis and reporting, leads key administrative processes, and collaborates across teams to ensure efficient operations, compliance with university and regulatory standards, and the successful execution of Financial Aid programs and initiatives.
Summary of Responsibilities:
Oversees personnel administration, manages office supplies and equipment, coordinates office events and meetings, and handles communication with clients and vendors. Requires the exercise of judgment and manages resources and addresses day-to-day operational needs.
Supports all administrative functions of the office, including but not limited to preparing Purchase Requisitions, assuring compliance with university policies regarding usage and billing of telephone bills and other communication devices. Coordinates repair and maintenance of equipment, submits Requests for Work Orders, approves and reconciles P-Card purchases, and manages travel reimbursements.
Collects and reviews timesheets and processes time input as the main timekeeper.
Assists with implementation and updating of procedures for administrative duties.
Creates and maintains various departmental calendars, schedules, and databases.
Initiates, coordinates, and tracks Financial Aid events, workshops, outreach initiatives, including but not limited to Financial Literacy, Debt Management, Default Prevention, Scholarship Resource Center workshops and awareness, High School nights, Fund Raising, Service Awareness, and FAU explore.
Organizes information for Institutional, State, Federal, Athletic and Veteran Association audits, as well as documents Payroll Certifications, Telephone Bills, and Travel Arrangements as requested for institutional audits.
Manages administrative expenses for the department to comply with a planned budget.
Analyzes financial data, prepares reports, and forecasts, and provides recommendations for management for strategic decision-making.
Oversees Budget Transfers and reconciliation of departmental ledger in Workday.
Serves as Financial Aid Fiscal Operations Officer back-up, including the processing of Earned Paid Adjustments for all financial aid programs and R2T4 adjustments.
Serves as Financial Aid HR Partner back-up to the Associate Director.
Develops and prepares reconciliation reports for state and miscellaneous funds.
Perform other job-related duties as assigned.
