About the Role

The onboarding experience of a new Sparta colleague is shaped long before they sit down at their desk. Does their equity grant show up cleanly? Does their first payslip land correctly? Does booking travel feel smooth rather than stressful? Across six countries and dozens of monthly edge cases, somebody makes all of that feel effortless. That somebody is you.

This role exists because three workflows — payroll, equity, and travel — touch the same people, the same data, and the same trust. Holding them together, inside Finance, is how Sparta ensures the back-office of working here just works.

You report to the Head of Accounting, work closely with the Senior Accountant and the wider Finance team, and partner with local payroll providers across Switzerland, the UK, Spain, Singapore, the UAE, and the US.

What You Will Own

  • Payroll — the monthly promise.

Every cycle, you coordinate with local payroll providers across six jurisdictions to ensure every employee gets paid the right amount, in the right currency, on the right day. You translate compensation changes from People into provider instructions, control the output against those instructions before approval, and forecast monthly payroll cash needs for treasury planning. You maintain employee profiles across Finance systems so that the correct information flows from input to reporting. When an employee has a question about their payslip you answer with warmth, accuracy, and speed. The Head of Accounting reviews the payroll register and approves the bank file; you are the operational driver behind that workflow.

  • Equity — the long-term part of the deal.

Sparta’s option plan is part of why people are excited to be here. You keep the equity management platform clean and current and reconcile it to the cap table and the ERP alongside the Senior Accountant. You partner with Legal on document execution and with Finance on the accounting entries. When an employee asks what a grant actually means for them, they get a clear, calm answer — because you understand both the mechanics and the documents.

  • Travel & Expenses — frictionless, or it is not working.

You own the travel platform end to end and you make booking simple and claiming simpler. You handle employee expense questions, partner with Finance on reimbursement timing, aid with corporate card administration and flag policy drift before it becomes a controls problem.

  • Data, Reporting & Continuous Improvement.

You produce the monthly payroll, headcount, and T&E reports that tell Finance and leadership what is happening, presenting the picture cleanly, with anomalies and trends called out rather than buried. You also support onboarding and offboarding from the Finance side so that new joiners hit the ground running and leavers are closed cleanly across all systems.

  • AI & Ways of Working.

Sparta treats AI as a serious working tool, not a novelty. The volume and variety of this role make it the perfect place to push that mindset. You use AI actively and you bring a “what can we automate next?” instinct to recurring workflows. The wider Finance team is doing the same; you will have peers to compare notes with and will be expected to share what works.

Who You Will Work With

Daily with the Head of Accounting and the Senior Accountant. Regularly with local payroll providers across six countries, the People team on hires and leavers, and Legal on equity documents. And — at one moment or another — with every Sparta employee, about a payslip, a system question, or a vesting event that matters to them.

What We Are Looking For

  • Two to four years in payroll administration, finance operations, or an HR/Finance coordinator role — ideally with multi-country exposure. You know the difference between a payroll that runs and a payroll that runs well. You write clearly and warmly, whether answering a new joiner’s first payslip question or summarising a discrepancy for senior stakeholders. You are organised in the way this role demands.

  • You are comfortable pulling data from multiple systems, spotting what does not fit, and presenting the picture cleanly.

  • Fluent in English; French or Spanish is a real plus for continental providers and colleagues. Experience with ERP systems, payroll platforms, travel management tools, and equity administration software.

  • And you already reach for AI when a task feels repetitive, and want a team that lets you keep building that muscle.

Skills Required

  • 2-4 years in payroll administration, finance operations, or HR/Finance coordinator role, ideally with multi-country exposure
  • Experience with ERP systems, payroll platforms, travel management tools, and equity administration software
  • Comfortable extracting and reconciling data from multiple systems and presenting clear reports with anomalies highlighted
  • Excellent written communication and warm customer-facing skills for answering payslip and equity questions
  • Organised with strong operational execution for recurring monthly workflows (payroll, forecasting, reconciliations)
  • Fluent in English
  • French or Spanish language ability
  • Practical experience using AI/tools to automate repetitive finance or operational tasks
