The Finance / Office Manager provides full finance, commercial, administrative, and office-management support for Tolomatic Europe GmbH while working from Tolomatic's Medina, Minnesota headquarters. This role partners closely with the small, close-knit team in Rüsselsheim am Main, Germany, to keep the European business running effectively. The position manages day-to-day accounting, reporting, order and sales administration, logistics, payroll support, compliance, and general office coordination. It also works with Tolomatic corporate teams, customers, suppliers, tax advisors, auditors, public authorities, and external service providers. This is a full-time, permanent role reporting to the CFO and requiring daily remote collaboration across time zones.Key Responsibilities
- Manage day-to-day bookkeeping, bank reconciliation, and online banking; support month-end and year-end closing; prepare reports for tax advisors and auditors; and provide input to budgeting and forecasting.
- Maintain customer and vendor master data; process invoices and payment schedules; support payment-policy compliance, collections, dunning, credit and debit notes, and dispute resolution.
- Administer customer orders, quotations, order confirmations, and invoices; communicate with customers about pricing and deliveries; and coordinate product availability and purchasing with suppliers.
- Coordinate import and export activities with logistics providers, including shipping, customs and trade documentation, goods receipt and delivery processes, inventory transaction review, and cycle counting.
- Process and post monthly payroll, review travel expense reports, and support HR and employee benefits topics.
- Maintain the ISO 14001 environmental register, support insurance matters, and correspond with public authorities and regulatory bodies.
- Remotely coordinate office supplies, facilities, external service providers, and local IT and network support for the Rüsselsheim office.
- Collaborate with Tolomatic corporate teams and support special projects.
What You Bring
- Degree in Accounting, Finance, or Business Administration, or an equivalent commercial qualification such as Industriekaufmann/-frau or Bilanzbuchhalter/-in.
- At least three years of relevant accounting experience.
- Business fluency in English and German for daily collaboration with the Rüsselsheim, Germany team.
- Strong Microsoft Office skills and solid experience with accounting, ERP, and CRM systems.
- Accuracy with numbers and details, with the ability to work independently, set priorities, and take initiative.
- Discretion with confidential information and confidence communicating with customers and colleagues.
- Ability and willingness to work in a hybrid setting and coordinate with colleagues in Germany across the time-zone overlap.
- Willingness to travel internationally on an occasional basis, including to the Rüsselsheim facility.
- Preferred: Experience with DATEV or comparable German bookkeeping or tax software, HGB reporting, an international group, or customs processes.
