Responsible for a variety of personnel and administrative related duties in support to Finance and People Administration as well as works closely with the VP for Finance and People Administration in providing all services related to payroll processing, compensation and benefits, and data management in their best quality and at a minimum time. Supports the department through employee relations, payroll, and compensations and benefits.
WHAT WILL YOU DO?
Payroll Processing
- Manage the end-to-end payroll process, ensuring accurate and timely payment of salaries, bonuses, and other compensation.
- Reconcile payroll data and resolve any discrepancies in a timely manner.
- Stay up-to-date with relevant laws and regulations affecting payroll and ensure compliance.
- Maintain and update the employee database and Payreto masterlist accurately.
- Support inquiries and requests regarding employee benefits, government contributions, and loans, providing timely assistance and information.
- Manage the attendance system and oversee employee vacation and sick leave, ensuring compliance with policies.
- Ensure prompt and precise reporting of new and separated employees to SSS and PhilHealth.
- Conduct comprehensive orientation sessions for new hires, covering both statutory requirements and company benefits.
- Facilitate timely processing of benefit payments for members.
- Guarantee punctual payment of statutory obligations, premium contributions, and loans according to agency schedules.
- Expedite the issuance of Certificates of Compliance and/or Good Standing from SSS, PhilHealth, and HDMF.
- Manage employee benefits programs.
- Handle benefits-related inquiries and troubleshoot issues for employees.
- Coordinate with benefits providers to ensure smooth administration and resolve any discrepancies.
- Track and report on benefits utilization and trends.
- Maintain accurate and up-to-date employee records, both physical and electronic.
- Ensure confidentiality and security of employee information.
- Update records with any changes in employee status, such as promotions, transfers, and terminations.
- Prepare and distribute employee-related documents, such as employment contracts and benefits statements.
- Ensure compliance with record-keeping requirements and data protection regulations.
- Manage and maintain employee data within the HRIS and payroll systems.
- Ensure data integrity, accuracy, and confidentiality.
- Stay informed about labor laws and regulations at the local and national levels.
- Ensure company policies and practices comply with all applicable labor laws.
- Assist in the preparation of compliance reports and documentation.
- Participate in audits and inspections related to labor compliance.
- Provide guidance to management and employees on labor compliance matters.
- Participate in ad hoc tasks or projects assigned by the supervisor or management.
- Demonstrate readiness to extend work hours when necessary to support company needs and meet critical deadlines.
WHAT SHOULD YOU HAVE?
- Bachelor’s degree in Accounting, Finance, or any related courses
- With 1 – 2 years’ experience in a similar role or capacity is an advantage.
- Proficiency in MS Excel and basic accounting software
- Knowledge and experience in labor law, compensation, employee relations and experience in using
- Human Resources Information Systems (HRIS).
- Knowledge of collaboration tools (Slack, MS Teams) Strong organizational and documentation skills
- High accuracy and attention to detail
- Dependable and committed to meeting deadlines
- Willingness to learn and adapt in a client-service environment
Skills Required
- Bachelor's degree in Accounting, Finance, or related field
- 1-2 years' experience in a similar role (advantage)
