The Finance Administrator is responsible for providing end-to-end financing coordination and administrative support to the Sales organization by ensuring equipment transactions are accurately structured, documented, approved, funded, and completed in alignment with company and regulatory requirements.
This role is accountable for financing coordination, documentation management, compliance administration, trade processing, lender coordination, and credit release activities to ensure deals are funding-ready and executed efficiently.
This is a hybrid role, requiring three days per week in the office, with an hourly rate of $22 to $25 per hour.Job Description:
Major Job Functions
Drive financing progression and deal readiness (30–35%)
- Coordinate financing activities from quote through funding and credit release
- Structure finance transactions in alignment with lender and program requirements
- Prepare and manage finance quotes and related documentation
- Ensure financing terms, rates, and structures are accurately reflected in systems
- Monitor deal progression and escalate risks or delays to appropriate stakeholders
- Ensure all approved conditions are satisfied prior to credit release and invoicing
Credit application and documentation management (20%)
- Collect, review, and validate credit applications, AML/KYC, and supporting documentation
- Understanding of AML/KYC and compliance requirements
- Gather insurance certificates, void cheques, and corporate registry documentation
- Coordinate completion of required documentation and ensure accuracy and completeness
- Maintain organized, complete, and audit-ready deal files
- Input and manage data within financing systems
Funding, lender coordination and credit release (20–25%)
- Submit and manage financing applications through captive and third-party lenders
- Familiarity with lending terms, leasing structures, and funding workflows
- Coordinate with internal credit teams and external lenders to obtain approvals
- Manage conditions precedent and funding requirements
- Assemble complete funding packages to support timely funding
- Timely and accurate progression of deals from application through funding and credit release
- Strong knowledge of equipment financing processes and documentation
- Issue credit release authorization once all funding requirements are satisfied
- Ensure all transactions meet risk, compliance, and funding standards
Deal coordination and process execution (10–15%)
- Track deal progression and maintain accurate status updates within systems
- Coordinate follow-ups related to outstanding documentation and funding conditions
- Collaborate with Sales and internal stakeholders to support deal execution timelines
- Maintain accurate deal records and documentation tracking
Trade processing and administrative coordination (10–15%)
- Coordinate and process trade-in transactions, including documentation and ownership verification
- Manage trade payoff requirements and internal trade-clearing processes
- Proper execution of trade processing and registry requirements
- Prepare registry searches and registrations (PPSA and corporate registries)
- Maintain accurate records of financing and trade activity
- Support general administrative functions related to financing and deal processing
Compliance and process management (5–10%)
- Ensure compliance with lender requirements, company policies, and regulatory standards
- Maintain audit-ready financing documentation and records
- Identify risks, discrepancies, or gaps and escalate appropriately
- Support continuous improvement of financing processes and workflows
Education & Experience
- 3–5+ years of experience in financing administration, lending, or sales support
- Experience in equipment finance, leasing, banking, or commercial finance environments preferred
- Proficiency with Microsoft Office and financing/CRM systems
- Post-secondary education in business, finance, or related field is considered an asset
- Experience in structured, process-driven environments preferred
