Shifts: 37.5 hours per week, Mon-Fri, 08:00-16:00 with a 30-min unpaid break

Purpose of the RoleThe Finance Admin Assistant provides essential financial, management information (MI), and administrative support to the Account Management and regional Operations teams. The role requires maintaining a comprehensive understanding of the account’s monthly financial and operational performance, producing accurate and timely financial reporting, and supporting the ongoing delivery of high-quality onsite services. This position plays a key role in ensuring financial accuracy, compliance, and effective decision-making across the London and EMEA regions.
Key Responsibilities
Financial Management & Reporting
- Reconcile and produce finalised London and EMEA Business Support Services (BSS) Gross Margin Templates (GMTs)
- Support data collection for London and EMEA BSS forecasting and budgeting activities
- Reconcile and prepare accurate, timely client invoices in full compliance with contractual requirements
- Produce client recharge reports with all supporting justification documentation
- Prepare and distribute monthly financial results and variance analysis against budget and prior periods
- Identify opportunities for financial and operational improvement using sound commercial and financial judgement
- Maintain an organised and auditable filing system for all financial and management information
- Provide ad hoc financial analysis and business support to Account Managers, Production Managers, and Team Leaders
Client Support
- Respond promptly and professionally to client queries relating to finance, operations, and technology
- Provide administrative support for client-requested activities
- Build and maintain strong working relationships with key client stakeholders across the UK and EMEA
- Ensure all management information reports are delivered within contractual deadlines
- Support joint client and Williams Lea projects as required
People & Stakeholder Management
- Develop strong working relationships with onsite teams, regional EMEA offices, and Williams Lea support functions
- Maintain effective communication with London and EMEA management teams
- Build and manage relationships with vendors and supplier partners
- Coordinate vendor and supplier changes impacting onsite or regional operations
- Keep operational teams informed of updates, changes, and best practices
Operations & Process Improvement
- Document process changes and update procedures manuals and business continuity plans for London and EMEA
- Collate information and produce service-related reports for senior management
- Ensure a logical and centralised filing system for all BSS documentation and contract materials
- Document and maintain up-to-date BSS processes
- Provide high-quality, relevant management information aligned to best practice benchmarking
- Monitor BSS performance against SLAs and escalate issues to management for corrective action
- Identify opportunities for process improvement and support implementation with management
- Assist with ad hoc projects as requested by the Management team
- Intermediate to advanced Microsoft Excel skills, including strong formula knowledge
- Working knowledge of Microsoft PowerPoint and Word
- Strong attention to detail with a critical eye for accuracy
- Excellent customer service and client-focused approach
- Strong organisational and administrative skills
- Ability to work effectively under pressure and meet tight deadlines
- Flexible, adaptable, and proactive mindset
