Main Purpose of the Role
 
The primary function of the role is to ensure that we are correctly invoicing for our Domestic and Commercial Field Operation Services. This involves contract rules review and allocation, invoicing, sales order processing, management of work orders and engineer time sheet review and preparation.
 
It is expected that all team members will work extremely closely together forming and maintaining a strong team environment including the fostering of a close working relationship, due to the operational nature of this role, this team unit is seen as an essential component to the successful delivery of the operational objectives and the wider ranging success of Switch2 Energy Ltd.
 
Main Accountabilities 

 

Invoicing 

  • Good understanding of Client Contracts and Engineer work orders to allow for accurate rule allocation
  • Generate accurate, complete and timely invoices
  • Addressing invoice queries, issuing credits
  • Ongoing monitoring and validation of invoices
  • Communicating with internal and external customers to investigate discrepancies/problems
  • Generate accurate, complete and timely purchase orders
  • Generate accurate, complete and timely sales orders
  • General administration of invoicing and upkeep of database

Time Sheet Management

  • Daily completion of Time Sheet Summary (TSS)
  • Generate time sheet report for monthly submission
  • Daily timesheet analysis reporting review to support financial planning
  • Escalation of anomalies to regional engineering managers to improve productivity

Key Skills 

  • Strong MS Excel skills and a comprehensive knowledge of PC Skills including the
    familiarity of the Microsoft Office Package (Excel, Word, Outlook, SharePoint)
  • Excellent written communication
  • Strong attention to detail and the ability to analyse and interpret large volumes of data
  • Problem solving ability
  • Excellent numerical skills
  • Excellent administrative and organizational skills
  • Ability to effectively and accurately manage a high-volume workload
  • Knowledge of invoice processing
  • Knowledge, Training and Relevant Experience to do the job
  • Educated to GCSE level
  • Minimum 2 years’ experience in a similar role
  • Previous experience in professional services industry would be an advantage
