Position Summary: The Administrative Assistant is responsible for supporting the VP Festival for Coachella Valley Music & Arts Festival and Stagecoach Festival. This highly organized individual will liaise with various departments including, but not limited to: Production, Mapping, Public Safety, Crowd Management, Guest Services, Marketing, Camping Operations, Food & Beverage, Merchandise and more.
Position Details & Required Availability:
- This is a temporary position based in Los Angeles, CA & Indio, CA starting on December 2, 2024 and ending on May 2, 2025
- Roughly 6-12 day trips to Indio, CA will be required prior to 3/31/25.
- Relocation to festival-provided housing required from March 31, 2025 – April 30, 2025. Working meals will be provided in Indio.
- Hours will vary by week. Starting in Feb '25 hours will increase to approx. 30+ hrs. per week
Primary Responsibilities:
- Responsible for coordinating virtual and in-person meetings, preparing documents and presentations, distributing festival-wide communications, and liaising with all festival departments
- General administrative duties such as processing incoming and outgoing correspondence, maintaining festival files and contact databases, office management, and ordering supplies
- Assist in coordinating meetings and staff events for 100+ employees
- Manage and maintain VP of Festival's calendar
- Special projects for the festival as assigned by the VP, Festival Operations, Manager, Festival Operations
- Will assist with communicating with vendors
Required Qualifications:
- A minimum education level of: High School Diploma or its equivalency
- A minimum of 1-2 years of related work experience in the music industry
- Strong written and verbal communication skills with an ability to take direction and work as a team towards the execution of a large-scale festival event
- Proficient in Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel, Word)
- Ability to work independently and as part of a team
- Ability to prioritize tasks and work in a fast-paced environment
- Highly organized with the ability to multitask
- Ability to work a flexible schedule including nights, weekends as needed
Pay Scale: $20-$25 per hour
