About This Role:
As an External Stakeholder Engagement (ESE) Sr Analyst, you will play a pivotal role within the GBS ESE and Sponsorship team. Your primary responsibility will be to manage and provide operational guidance for external stakeholder engagements and sponsorship requests, ensuring they are executed efficiently and on time. You will act as the subject matter expert for the ESE tool, supporting Engagement Owners (EO) and Sponsorship Owners (SO) through the entire process, from submission to closure. By maintaining electronic records and ensuring timely transaction completion, you will contribute significantly to the smooth execution of our stakeholder and sponsorship activities. As part of the team, you will also support compliance with internal processes and policies, acting as a liaison between various departments to solve routine problems and enhance process effectiveness.
What You’ll Do:
Performs structured work assignments related to job discipline and uses existing procedures and guidelines to solve routine problems.
Supports Engagement Owner (EO) with the end-to-end process within the ESE tool from submission of engagement through to closure. The candidate will provide operational guidance and administrative support to ensure on-time execution of external stakeholder engagements.
Supports Sponsorship Owner (SO) with the end-to-end process within the SGG tool from submission of sponsorship request through to closure. The candidate will provide operational guidance and administrative support to ensure on-time execution of sponsorship requests.
The Senior Analyst is the subject matter expert and primary contact for all Biogen engagement and sponsorship owners and other employees involved in the ESE and SGG process, supports Affiliate teams with their ESE and Sponsorship submissions, international colleagues for cross-border engagements and back-office execution.
Is responsible for maintaining electronic records, following up on outstanding items and ensuring timely completion of transactions.
Resolves problems in straightforward situations, analyzes possible solutions using technical experience and judgment and precedents, operates within clear guidelines.
Seeks guidelines and direction from more senior level roles in non-standard situations.
Explains factual, sometimes complex information to others in straightforward situations.
Responsible for GBS process related documentation (eg. Work Instructions, job aids, quick cards) and training of new joiners
Conduct routine operational meetings with internal Business Partners
Reports and monitors KPIs and metrics for ESE and Sponsorship processes, which should be in line with established SLA
Reports and analyzes the route cause of incidents related to ESE and Sponsorships processes, and proposes and implements mitigation actions
Supports continuous improvement for ESE and Sponsorships processes
Supports transition of ESE and Sponsorship processes from other markets into GBS
Supports/back-up other Countries transitioned to GBS in processing ESE and Sponsorship requests
Who You Are:
You are a detail-oriented individual with a strong ability to manage multiple tasks in a fast-paced environment. Your excellent communication skills in both English and German allow you to effectively collaborate with cross-functional teams and international colleagues. You have a knack for problem-solving, using your technical experience and judgment to navigate straightforward situations. Your proactive approach to seeking guidance in non-standard situations makes you a valuable team player. You are organized and capable of handling deadlines and priorities with ease.
Please note that this role requires a candidate to be a holder of work permit & residency in Poland.
Required Skills:
University degree or equivalent combination of education and experience.
At least 2 years of experience in a fast-paced administrative or operational role.
Excellent verbal and written communication skills in English and German.
Strong customer service and organizational skills.
Experience with workflow programs and proficiency in MS Office tools.
Preferred Skills:
Experience working in Pharma/Biotech or in a shared service environment.
Knowledge of external stakeholder engagement and sponsorship processes.
Familiarity with Oracle, iProcurement, Veeva, and DocuSign.
