The External Stakeholder Engagement (ESE) CoE Senior Analyst (Japanese Speaking) is part of the GBS ESE and Sponsorship team and will be responsible for:
- Performs structured work assignments related to job discipline and uses existing procedures and guidelines to solve routine problems.
- Supports Engagement Owner (EO) with the end-to-end process within the ESE tool from submission of engagement through to closure. The candidate will provide operational guidance and administrative support to ensure on-time execution of external stakeholder engagements.
- Supports Sponsorship Owner (SO) with the end-to-end process within the SGG tool from submission of sponsorship request through to closure. The candidate will provide operational guidance and administrative support to ensure on-time execution of sponsorship requests.
- The Senior Analyst is the subject matter expert and primary contact for all Biogen engagement and sponsorship owners and other employees involved in the ESE and SGG process, supports Affiliate teams with their ESE and Sponsorship submissions, international colleagues for cross-border engagements and back-office execution.
- Is responsible for maintaining electronic records, following up on outstanding items and ensuring timely completion of transactions.
- Resolves problems in straightforward situations, analyzes possible solutions using technical experience and judgment and precedents, operates within clear guidelines.
- Responsible for GBS process related documentation (eg. Work Instructions, job aids, quick cards) and training of new joiners
- Conduct routine operational meetings with internal Business Partners
- Reports and monitors KPIs and metrics for ESE and Sponsorship processes, which should be in line with established SLA
- Reports and analyzes the route cause of incidents related to ESE and Sponsorships processes, and proposes and implements mitigation actions
- Supports continuous improvement for ESE and Sponsorships processes
- Supports transition of ESE and Sponsorship processes from other markets into GBS
- Supports/back-up other Countries transitioned to GBS in processing ESE and Sponsorship requests
- Support engagements for Biogen’s ESE tool in collaboration with the EO based on prioritized needs.
- Manage each engagement as a small project and ensure engagement owners are contacted promptly to ensure meetings are not at risk.
- Act as subject matter expert of the ESE tool.
- Manage timelines for contracting, payments, and closeout.
- Manage sponsorship requests including organization qualification, due diligence, request review, decision communications, contracting, payments, and reconciliations.
- Manage the sponsorship mailbox and other team repositories as assigned.
- Advise on standard Biogen procedural, contractual or financial processes. Follow best practices by fully utilizing the ESE and SGG planning toolkit, ensuring effective tracking of deliverables and appropriate mitigation of risks to execution.
- Demonstrates knowledge of the organization and processes and uses this understanding to accomplish own work.
- Assist Biogen S&G/ Compliance as part of the ESE and Sponsorship monitoring plan and internal/external audits.
- Work with S&G and compliance to identify process risks and improvement opportunities.
- Participate in the continuous development of the ESE and Sponsorship toolkit.
- Creation of monthly reporting, KPIs, metrics to provide insight into hub activities and monitor ongoing volume.
- Reporting of External Stakeholders Engagements and Sponsorships incidents including route case analysis and mitigation actions.
- Preparation and update of GBS documentation related to ESE and Sponsorship processes (eg. Work Instructions, Job Aids, Quick Cards).
Qualifications:
- University degree or the equivalent combination of education and experience required;
- Proficient in Japanese
- Requires 2-4 years experience in a fast-paced administration or operational role.
- Requires expanded conceptual knowledge in own job discipline and broadens capabilities.
- Excellent verbal and written communication skills in Japanese.
- Experience in partnering and collaborating with cross-functional teams.
- Strong customer service, organizational skills, and experience with managing a process.
- Experience working with workflow programs and strong overall acumen with MS Office tools.
- Strong organizational skills, and ability to accomplish multiple tasks within the agreed timeframes through effective prioritization of duties in a fast-paced environment.
- Experience working in Pharma/Biotech is a plus.
- Knowledge of external stakeholders engagement and sponsorship processes and related regulations is a plus.
- Knowledge of event management is a plus.
