Join our logistics team in Ayr as an Export Documentation Specialist and play a key role in ensuring international shipments move efficiently, accurately and in line with regulatory requirements. This mid-level position is ideal for a highly organised professional with export documentation experience who can manage competing priorities, build effective relationships with internal and external partners, and maintain exceptional attention to detail.

Key Responsibilities
  • Prepare, verify and issue commercial invoices, packing lists, bills of lading, proforma invoices and other documentation required for export shipments.
  • Review daily export order lists, identify orders requiring additional documentation, and produce required documents within agreed timescales.
  • Coordinate specialist export documentation, including veterinary certificates, certificates of origin, ATRs and EUR1s, working with relevant competent authorities and ensuring documents are promptly shared with the appropriate parties.
  • Work closely with Trade Compliance, customs brokers, freight forwarders, 3PL partners and internal logistics teams to support customs clearance and resolve documentation queries.
  • Maintain accurate export order trackers and shipment records, following up on staged shipments, approvals, product expiry information, missing documentation and applicable shipping costs.
  • Attend regular reviews with 3PL partners to assess open orders, identify priority actions and ensure agreed actions are completed within required timeframes, while identifying opportunities to improve document flow and reduce delays.
Job Requirements
  • Experience in export documentation, international shipping, trade compliance or a comparable logistics-focused role.
  • Strong working knowledge of commercial invoices, customs processes and export documentation requirements.
  • Experience working with 3PL providers, customs brokers and freight forwarders.
  • Proficiency in ERP, WMS and/or export tracking systems, with confidence maintaining accurate records and trackers.
  • Excellent attention to detail, problem-solving ability and a proactive approach to identifying and resolving documentation discrepancies.
  • Experience of exports within a regulated sector, along with knowledge of Incoterms, HS codes, country-specific documentation or multi-country shipments, would be advantageous.
