About the role.
Reporting to the Director, Global Executive Recruitment within the Talent Management function, this role directly supports all VP-level and above hiring globally. The Executive Recruitment Assistant partners closely with senior leaders, Executive Assistants (EAs), external partners, and candidates to facilitate a seamless, high-touch executive recruitment experience across regions and time zones.
This role serves as the primary operational lead for Executive Recruitment coordination, with accountability for proactively anticipating needs and independently managing all logistics and operational details end-to-end in close partnership with the Director, Global Executive Recruitment. It is a high-visibility position with direct impact on executive candidate experience, senior-leader engagement, and the overall effectiveness of executive search delivery.
The role is instrumental in ensuring a consistently high-quality candidate and hiring-manager experience through strong attention to detail, sound judgment, and proactive execution. Success in this role requires strong anticipatory thinking, sound judgment, and the ability to proactively identify and address needs before they arise. This role enables the Executive Recruitment function to operate with speed, rigor, and confidence.
What you'll be doing.
- Serves as a core team member on projects led by the Executive Recruitment team
- Oversees the end-to-end executive candidate interview process, including scheduling in-person interviews, communicating interview logistics, and coordinating closely with Executive Assistants supporting senior leadership
- Acts as the primary operational owner for Executive Recruitment coordination, independently planning ahead and ensuring seamless execution across scheduling, travel, assessments, expenses, and stakeholder communication
- Manages complex, multi-stakeholder calendars and global scheduling across time zones
- Manages multiple tasks and action items (documentation, follow-ups, preparation), ensuring accuracy, timeliness, and follow-through
- Welcomes and supports candidates during on-site interviews, ensuring a polished and high-touch executive experience
- Proactively identifies and flags upcoming decisions, approvals, dependencies, and risks related to executive interviews, travel, assessments, and search timelines
- Effectively prioritizes competing demands and manages multiple concurrent searches and deliverables
- Champions the executive candidate experience, ensuring clear communication, responsiveness, and professionalism throughout the process
- Owns all executive candidate travel logistics end-to-end, including booking flights, hotels, ground transportation, managing changes, and contingency planning
- Manages executive candidate expenses, reimbursements, invoicing, and Coupa processing, ensuring accuracy, compliance, and minimal need for oversight
- Tracks and manages all invoices related to Executive Recruitment activities (search partners, assessments, travel, events), partnering closely with the Director on approvals, forecasting, and follow-ups
- Supports business-expense reporting and ad hoc administrative responsibilities related to Executive Recruitment
- Produces reports, tables, spreadsheets, and confidential correspondence using Microsoft Word, Excel, and PowerPoint
- Prepares and manages executive-level candidate briefs and interview materials, ensuring accuracy, completeness, and timely updates for the Executive Recruitment team
- Maintains accurate and up-to-date records across executive recruitment systems, including SuccessFactors and Phenom, and produces required reports and data extracts as needed
- Supports pre-employment processes for executive candidates, including references and background checks, as required
What you'll need to be successful.
- Minimum six (6) years of experience in an administrative, coordination, or executive support role
- Demonstrated experience supporting senior leaders or executive-level processes in a highly proactive, anticipatory capacity
- Familiarity with enterprise HR and recruitment systems (e.g., SuccessFactors, Phenom, Coupa) is considered an advantage
- Demonstrated ability to independently navigate, troubleshoot, and optimize systems and processes in a complex, global environment
- Strong ability to think ahead, anticipate bottlenecks, and manage issues independently with sound judgment
- Experience working in a fast-paced, highly collaborative, and evolving environment
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong interpersonal skills and comfort engaging with senior leaders and Executive Assistants
- Highly organized, self-directed, and able to manage multiple priorities with minimal supervision
- Experience scheduling executives or providing executive-level coordination support
- Exceptional attention to detail paired with strong operational judgment and big-picture thinking
- Comfort operating with ambiguity and adapting to change with a positive, solution-oriented mindset

Compensation Package : $52,600.00 - $70,200.00 . CAD annually
The above reflects the target compensation range for the position at the time of posting. Hiring compensation will be determined based on experience, skill set, education and training, and other organizational needs.
