We are seeking a strategic, detail-oriented, and highly trustworthy Executive Personal Assistant to provide comprehensive, high-level support to the CEO across both professional and personal domains. This role is designed for a skilled professional who exercises independent judgment, manages complex logistics, and oversees sensitive operations that intersect with the CEO’s personal and family life.
As a critical member of the executive support team, you will be responsible for coordinating and optimizing the CEO’s time, household operations, and personal commitments. You will report to the Lead Executive Business Partner and collaborate cross-functionally with internal stakeholders, external vendors, and household staff.
This is a dynamic and evolving position with high visibility, autonomy, and the opportunity to play a key role in enhancing the CEO’s effectiveness across all areas of life.
This role requires a hybrid work environment (commuting/working in SF 3 days per week).
What You'll Do:- Act as a strategic partner in managing and optimizing the CEO’s personal and family calendars, proactively resolving scheduling conflicts, and anticipating needs across both professional and personal obligations.
- Independently oversee household operations and vendor management, including sourcing service providers, managing budgets, and ensuring quality execution of contracted work.
- Lead planning and execution of personal and family events, including milestones, holiday gatherings, and high-profile dinners, coordinating vendors, venues, timelines, and logistics.
- Coordinate end-to-end personal and family travel, exercising discretion in selecting accommodations and ensuring all arrangements are aligned with the CEO’s preferences and responsibilities.
- Oversee household purchasing, personal errands, and administrative logistics with minimal oversight, maintaining confidentiality and sound judgment in all matters.
- Track, reconcile, and submit personal and business-related expense reports on behalf of the CEO, ensuring accuracy and compliance with internal policies.
- Proactively manage and execute personal gifting on behalf of the CEO—selecting, procuring, and coordinating timely delivery of gifts for business, personal, and special occasions.
- Serve as a liaison between the CEO and external service providers, family contacts, and household personnel, ensuring clear communication and seamless execution of plans.
- Partner with the Lead Executive Business Partner on overlapping initiatives that require coordination between personal and professional domains.
- Provide operational support on special projects and key priorities as requested, applying a strategic lens and the ability to manage through ambiguity.
- Maintain flexibility and availability for time-sensitive requests that may arise outside of standard business hours.
- Based in the San Francisco Bay Area with the ability to work onsite at the CEO’s residence at least 3x per week.
- Minimum 5 years of experience supporting a senior executive in a personal assistant, estate management, or chief-of-staff capacity.
- Proven ability to manage complex logistics and high-stakes personal matters with professionalism, integrity, and discretion.
- Strong project management and vendor coordination skills; ability to independently prioritize and follow through on multiple initiatives.
- Highly organized with a process-oriented mindset and excellent attention to detail.
- Exceptional communication skills and a poised, polished demeanor in both formal and informal settings.
- Comfortable working in a fast-paced, evolving environment with a high degree of autonomy.
Your compensation may be based on several factors, including education, work experience, and certifications. For certain roles, total compensation may include restricted stock units.
