Job Description

Tenancy Design Coordination

  • Work with the Space Planning Management team to provide a standard guide in order to integrate the tenants into the project.
  • Issue and explain the Tenancy Design guidelines and fitting-out manual with tenants, tenants’ designer and contractors to ensure that they understand the CMO requirements prior to submission of drawings.
  • Coordinate the design, planning, implementation and completion of the tenancy fit out work to deliver retail tenancies in a timely manner.
  • Work closely with the CMO and T Space Planning Management team in reviewing of tenants’ design and documentation and provide design improvement feedback to tenants.
  • Ensure that tenancy designs comply with the standard guidelines and proper documents as required with the positioning of the mall.  Actively negotiate and influence design submissions (for new and renewal cases) to achieve better outcomes.
  • Coordinate all design requirements and drawings with tenants, consultants and project team.  Finally, liaise with the tenants’ on the approved design for their execution.
  • Manage the handover process of the tenancy unit to the tenants.  Provide continuous support ensuring adequate induction, coordination and assistance through the fit-out period.
  • Undertake site inspections during the fit-out period and liaise closely with tenant’s fit-out contractors to ensure compliance with the approved designs, authority requirements as well as house rules.
  • Manage tenant interface on disputes associated with the lesser scope or any other construction issues, which may compromise timely delivery.
  • Complete final inspections of tenant units and follow up on deficiencies.
  • Keep proper records of drawings to ensure accurate final records are prepared and in accordance to the contract specification and approved drawings.
  • Obtain approval from CMO and Space Management Managers prior to the commencement of business of the relevant tenant units.
  • For moving out cases, ensure tenants hand back the units to CMO in accordance with the guidelines and requirements.
  • Support the superior in the planning of overall mall improvement initiatives related to aesthetic design which includes execution of work.
  • Handle the operations procurement inclusive of tender management for shop-lots / kiosks upgrading, and reconfiguration works, maintenance works, hoarding boards, Capex, Opex, etc.
  • Provide support to the superior in other operational initiatives such as AEI and tenancy works, coordination of maintenance or rectification works that involve tenants’ lot, reviewing and approving tenants’ work permit requests if so required.

Others

  • Analyze operational issues; prepare and/or check the relevant technical or incident reports and any other reports for submission to superiors for reviews and decisions.
  • Provide support to superior in various documentation works related to Operations which include compilation and preparation of monthly Management Reports such as ACG Reports, system updates, Presentation Slides, Asset Plan, etc.  Ensure proper documentation and safe keeping of department’s written materials. 
  • Develop and maintain close coordination and productive working relationship between the Operations Department and other key departments at mall level as well as HQ Office.
  • Establish rapport with subordinates, create and maintain department morale and build team efforts to achieve excellent results.
  • Ensure good team discipline in terms of adherence to company’s policies, attendance as well as punctuality.  Handle staff grievances and disciplinary problems.  Refer to superiors for more serious cases.
  • Lead, provide guidance and delegate tasks to subordinates as well as assess their performance.  Supervise and monitor their works and ensure satisfactory job completion.  Motivate them toward self-improvement and better job performance.
  • Perform any other duties, which may be assigned or directed by the line of report from time to time.
