POSITION SUMMARY:

The Arizona Supreme Court's Administrative Office of the Courts (AOC) is seeking a talented, motivated professional to join its Executive Office as Manager of Executive Operations. This position works directly with the Administrative Director and Deputy Director. It interacts regularly with the Chief Justice's Office, judges, court executives, AOC leadership, government officials, and justice-system partners throughout Arizona.

As Manager of Executive Operations, you will:

  • Work directly with executive leadership to coordinate priorities, projects, meetings, deadlines, communications, and follow-up.
  • Connect people across Arizona's Judicial Branch, serving as a liaison among the Executive Office, Office of the Chief Justice, AOC divisions, judges, court executives, government officials, and external partners.
  • Help move important Arizona judicial branch initiatives forward by managing special projects, coordinating stakeholders, tracking deliverables, identifying obstacles, and keeping leadership informed.
  • Support the highest-level judicial branch administration by preparing agendas, briefing materials, reports, correspondence, administrative orders, directives, rule petitions, and other important court documents.
  • Help coordinate the Arizona Judicial Council and statewide court leadership meetings, including meetings of Superior Court Presiding Judges and other judicial leaders.
  • Lead and develop a professional support team, assigning priorities, coordinating workload, coaching employees, and helping the Executive Office operate effectively.
  • Research issues and analyze information to help leadership identify options, improve processes, and make informed decisions.
  • Represent the Executive Office in meetings and on special projects involving people and organizations throughout the Judicial Branch.
  • Coordinate statewide programs and events, including recognition programs, executive meetings, conferences, and other judicial initiatives.

This position may be eligible for a hybrid-telework schedule once the employee has completed three (3) months of employment and has sufficiently proved their ability to perform assigned tasks.

Public Service Loan Forgiveness (PSLF) Program qualified employer.

MINIMUM REQUIREMENTS:
The successful candidate must have a bachelor’s degree and at least five years of increasingly responsible and professional-level administrative support experience in a full-function office. Directly related experience may substitute for the degree requirement.

Other requirements include: a high degree of accuracy, attention to detail, initiative, adaptability, and accountability. Experience supervising, leading, or coordinating the work of others. Exceptional written and verbal communication skills, including the ability to draft, edit, proofread, and format executive-level correspondence, reports, orders, presentations, and other complex documents. Strong judgment, discretion, diplomacy, and ability to handle confidential, sensitive, or high-profile matters appropriately. Advanced organizational skills, including the ability to prioritize competing demands, manage multiple complex assignments, meet deadlines, and follow matters through completion with minimal supervision. Strong interpersonal and relationship-management skills and the ability to work effectively with justices, judges, court executives, legislators, government officials, employees, stakeholders, and members of the public. This position also requires the ability to anticipate executive needs, identify emerging issues, synthesize information, develop options or recommendations, and exercise sound independent judgment within delegated authority. Proficiency with contemporary office productivity, collaboration, document-management, presentation, spreadsheet, PDF, and virtual-meeting technologies, including Microsoft 365; ability to learn new systems and technology quickly.

Travel level: up to 5% (within Arizona, a valid driver's license is required)

SELECTION PROCESS:
Applicants must be currently authorized to work in the United States on a full-time basis. Only applicants whose backgrounds most closely meet the needs of the position may be invited to interview. This is a Regular, Full-time, Exempt level position.
