About the RoleA growing executive team is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support day-to-day operations, executive priorities, and member experience.
This role goes far beyond calendar management. You'll serve as a strategic operational partner, helping coordinate communications, manage projects, support exclusive events, optimize internal systems, and ensure everything runs efficiently behind the scenes.

Key Responsibilities- Manage executive calendars, scheduling, and meeting coordination.
- Handle high-volume communications across email, Slack, and other collaboration platforms.
- Coordinate meetings with founders, investors, partners, and community members.
- Support planning and execution of exclusive events, including logistics, vendors, speakers, and attendee communications.
- Maintain strong relationships through professional and timely communication.
- Document workflows, operational processes, and internal playbooks.
- Maintain and organize systems such as Notion, CRM platforms, and internal databases.
- Improve operational efficiency by identifying opportunities for process optimization and automation.
- Assist with project coordination, follow-ups, and execution across multiple initiatives.
- Help implement scalable systems that enhance member experience and internal operations.
- Explore and leverage AI tools and workflow automation solutions to improve productivity.
- 3+ years of experience as an Executive Assistant, Operations Coordinator, Project Coordinator, or similar role.
- Advanced English communication skills (written and verbal).
- Exceptional organizational skills with outstanding attention to detail.
- Strong project coordination and multitasking abilities.
- Ability to manage multiple priorities with minimal supervision.
- Professional communication skills and confidence interacting with senior executives.
- Strong problem-solving mindset with a proactive approach.
- High level of discretion when handling confidential information.
- Comfortable working in a dynamic, fast-paced environment.
- Experience supporting founders, executives, or startup leadership teams.
- Familiarity with Notion, Airtable, CRM platforms, or project management tools.
- Experience with workflow automation platforms such as Zapier, Make, or similar.
- Exposure to AI tools, AI agents, or productivity automation.
- Event planning or community operations experience.
- Previous experience within startups, venture capital, entrepreneurship, or high-growth environments.
- Executive priorities are managed efficiently with minimal oversight.
