Job Summary:

The Executive Office Operations Assistant plays a key role in ensuring the smooth daily functioning of the Executive Office. Reporting into the Chief of Staff and working closely with the Director of Executive Operations, this role supports a wide range of tasks — everything from coordinating food service and supply needs to helping prepare meeting spaces and assisting with on-site logistics. The ideal candidate is solutions-oriented, organized, and eager to contribute to a dynamic and fast-paced media environment.

This is a growth-oriented role with responsibilities that will evolve over time. The right candidate will have opportunities to take on more complex projects and develop professionally within the Executive Office team.

How You'll Support The Mission

  • Maintain and update team databases and documentation; help develop and refine processes to ensure operational efficiency and clarity.

  • Monitor and maintain stock of office supplies and other essentials for the Executive Office.

  • Draft and format team documents, memos, and communications with professionalism and attention to detail.

  • Help research and compile briefing documents for internal and external meetings as needed.

  • Assist with arrangements, logistics, and research for travel and events.

  • Coordinate location booking, catering, and technical needs for executive meetings, working sessions, and events, and assist with day-of logistics as needed.

  • Support logistics for visiting guests, including room scheduling and hospitality needs.

  • Run occasional errands and coordinate ad hoc requests that help the executive team operate efficiently.

  • Maintain clean, organized, and professional shared spaces in and around the Executive Office.

  • Maintain knowledge of industry landscape in organized shared data spaces.

  • Handle confidential information and sensitive materials with utmost discretion and professionalism.

  • Support the Executive Office with other administrative tasks as needed.

The Skills and Experience You Bring

  • Minimum 1–3 years of experience in office support, facilities coordination, event planning or hospitality.

  • Strong attention to detail and a proactive, helpful attitude.

  • Ability to juggle multiple tasks and respond quickly to changing needs.

  • Proven ability to manage competing tasks and adapt quickly to shifting priorities in a dynamic environment.

  • Comfortable working in a fast-moving, high-pressure media environment.

  • Demonstrated ability to handle confidential information with discretion and sound judgment.

Preferred Qualifications:

  • Knowledge of local entertainment and dining amenities.

  • Familiarity with the Washington, D.C. community — including venues, vendors, organizations, and key contacts — is a plus for supporting executive events and engagement.

Benefits may vary based on the job, full-time or part-time schedule, location, and collectively bargained status.

The salary range for this position is:

$85,100 - $127,700 Annual

The actual salary within this range will depend on individual skills, experience, and qualifications as they relate to specific job requirements. This position may be eligible for a bonus or incentive program, and a member of the Talent Acquisition team will discuss bonus payment terms and conditions during the interview process.
