We are seeking an Executive, Office Administrator to support general office operations, asset management, and the coordination of seminars, events, and academic visits at IDMxS, while working cross-functionally with stakeholders in a dynamic, fast-paced environment.

Responsibilities:

  • Provide overall event management coordination including managing stakeholders, planning, and execution. This includes liaison and support to speakers and/or VIP guests on flights and hotel bookings.

  • Source, evaluate, negotiate and manage third party vendors and/or venues for the respective events/seminars.

  • Coordinate and manage external vendors, support logistics preparation, and assist in the execution of the events/initiatives.

  • Responsible for scheduling internal/external engagements, and arranging virtual meetings/conference calls.

  • Assist with public outreach via website and preparation of marketing-related materials.

  • Assist with day-to-day operations of the office, such as office purchases, asset management, monitoring of office and pantry supplies.

  • Other administrative duties as assigned by the supervisor.

Requirements:

  • University Degree in any discipline.

  • Minimally 4 years of post-degree working experience, including event management and secretarial experience is an added advantage.

  • Strong communication and interpersonal skills, with a proven ability to engage and coordinate effectively with external vendors.

  • Proficient in MS Excel, PowerPoint, Access and Adobe.
