Performs administrative duties for executive management. Responsibilities may include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training and coordinating other support staff; and customer relations. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters is required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Tasks assigned by Administration/the Leadership Team
- Shows initiative, is self-motivated, and has the ability to work independently on projects and assignments
- Manage day-to-day operations of the office
- Organizing and maintaining files and records for meetings
- Prepare meeting minutes for various committees and teams
- Assists with emergency preparedness
- Planning and scheduling meetings and appointments
- Managing projects and conducting research
- Preparing and editing correspondence, reports, and presentations
- Making travel and guest arrangements
- Providing quality customer service
- Working in a professional environment
- Communication liaison for correspondence for the leadership team
- Plans company-wide events
- Coordinates employee contests
- Form and Inventory management
- Maintains Policies and Procedure Manuals
- Formulates information into Microsoft PowerPoint, Excel, etc.
- Assist in HR functions i.e., orientation, prepare board packets and training materials, recruiting
- Perform all other duties as assigned
