Surgical Notes is hiring an Executive -HR and Admin to assist with recruiting, onboarding, and HR administration. In addition to that looking after office administration. The ideal candidate has excellent organizational skills, communication skills, with the desire and ability to learn quickly. Working as a part of the team to meet deadlines, but also being able to work independently is crucial to success in this position. Reports to: Manager, HR & Admin
Responsibilities:
HR
- Source and recruit candidates by using databases, social media, recruiting websites, etc.
- Screen candidates’ resumes and job applications
- Conduct initial phone screens using various reliable recruiting and selection tools/methods to filter candidates within schedule
- Assess applicants’ relevant knowledge, skills, soft skills, experience, and aptitudes
- Schedule interviews
- First point of contact with the candidates to assist during the interview process.
- Assist with new employee onboarding
- Manage and maintain the HRIS (UKG and Greenhouse)
- Send rejection emails
- Assist with Employee Group Mediclaim queries, additions/deletions, EPF/ESI queries.
- Keeping track of attendance/missed punches in UKG.
- Assist in Employee engagement activities
- Other responsibilities as assigned
Admin
- Housekeeping
- Coordination with the office building in charge for maintenance and upkeep of office premises
- Procurement of Office Pantry Supplies – Tea /coffee/water
- Vendor Management
- Office Supplies - Stationery
- Daily Employee meals
- Employee I- Cards/ Access cards
- Making meal arrangements for office events/ client visits

Job Requirements:
Required Knowledge, Skills, Abilities & Education:
- Must pass an assessment to display knowledge of skills and abilities
- Some college with focus on human resources, organizational psychology, or similar field
- Experience with customer service or administration
- Advanced skills in Microsoft Excel and Microsoft Word
- Ability to work independently and as part of a team
- Strong ability to take initiative with exceptional ability to follow oral and written instructions
- Strong attention to detail and speed while working within tight deadlines
- A high degree of flexibility and professionalism
- Excellent organizational skills
- Outstanding communications skills; both verbal and written
Preferred Knowledge, Skills, Abilities & Education:
- Experience working in human resources or recruiting
- Experience working in an Ancillary/Ambulatory Surgery Center (ASC)
- Strong Microsoft Office skills in Outlook, PowerPoint, and Teams
Physical Demands:
- Sitting and typing for an extended period of time
- Reading from a computer screen for an extended period of time
- Work environment of a traditional fast-paced and deadline-oriented office
