Working directly with the CFO, the Executive Coordinator serves as a trusted strategic partner, supporting banking relationships, financial reporting and trend analysis, contract utilization, monitoring for funding opportunities, RFP coordination, and strengthening internal controls through policy, audit preparation, and process improvement. This role is designed specifically to extend the effectiveness of the CFO, requiring grit, initiative, and unwavering trust, with the ability to manage highly confidential financial and executive information. Although the role has no supervisory authority, it serves as a trusted executive resource with broad organizational access. The ideal candidate demonstrates exceptional integrity, discretion, sound judgment, and the ability to balance priorities in both independent and collaborative work.

What You'll Do

Key responsibilities include:

  • Serve as the primary executive support and strategic partner to the Chief Financial Officer (CFO), coordinating high-level financial and organizational priorities.
  • Assist with financial reporting, data analysis, trend monitoring, and executive dashboards to support informed decision-making.
  • Coordinate banking relationships, contract utilization, and funding activities, including monitoring grant opportunities and managing RFP processes.
  • Support the development and maintenance of internal controls, financial policies, audit preparation, and process improvement initiatives to strengthen organizational compliance and efficiency.
  • Prepare confidential reports, presentations, correspondence, and executive materials while maintaining the highest level of discretion and integrity.
  • Coordinate executive meetings, strategic initiatives, and cross-departmental projects, ensuring timely follow-up and execution of action items.
  • Research, analyze, and compile information to support organizational planning, financial initiatives, and executive decision-making.
  • Manage highly confidential financial and executive information with professionalism, sound judgment, and strict confidentiality.
  • Build collaborative relationships across departments to facilitate communication and support organizational goals.
  • Perform special projects and other duties as assigned in support of the CFO and Finance Department.

  • High school diploma or equivalent required.
  • Exceptional integrity, professionalism, and discretion when handling confidential financial and executive information.
  • Strong organizational, analytical, and communication skills with excellent attention to detail.
  • A proactive, solutions-oriented approach with the ability to manage multiple priorities independently.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint) and the ability to learn new systems quickly.
  • Experience supporting executive leadership, financial operations, project coordination, or administrative functions preferred.
