Responsibilities
- Serve as a trusted thought partner and gatekeeper, consistently demonstrating deep understanding of executive and organizational priorities in a changing environment.
- Manage critical matters with a high level of confidentiality, discretion, and good judgment.
- Anticipate executive needs and act as an extension of executive across their team and the wider organization.
- Filter requests and prioritize challenging demands, ensuring the SVP’s time is focused on the highest value initiatives.
- Operate independently in a fast-paced environment, identifying potential obstacles and finding and implementing solutions.
- Build and maintain positive relationships across the organization and externally, with particular focus on collaboration with other EAs, HRBPs, and the Chief of Staff.
- Understand organizational policies, cultural differences, and procedures vital to ensure appropriate decision-making protocols are followed; advise and mentor others on protocols.
- Proactively seek alignment between leadership priorities and team execution, ensuring transparency on goals and outcomes among the teams.
- Support development and monitoring of organizational strategy, quarterly/annual planning, and cross-functional initiatives.
- Proactively identify gaps, risks, and opportunities for improved organizational performance and recommend solutions.
- Manage calendars across multiple time zones, resolving scheduling issues in a proactive, forward-thinking manner.
- Plan, coordinate, and run complex division-wide events and coordinate VIP visits.
- Arrange highly detailed domestic and international travel.
- Process expense reports and create purchase requisitions as required.
- Work with the TRI Communications Team to help produce and coordinate press, media, speaking engagements, and logistics as required.
- Draft and prepare documents and correspondence for internal meetings and communications, board meetings, and external engagements as required.
- Perform additional duties as assigned and complete ad hoc projects as required.
- Some travel may be required.
Qualifications
- Bachelor's degree or equivalent experience.
- 10+ years of related experience required in working in an executive assistant role supporting Executive Team/C-Level executives.
- Proficient in Google Suite (Calendar, Drive, Docs, Sheets, Meet, Chat, Forms) and Microsoft Office (Outlook, Word, Excel, PowerPoint), as well as the ability to seamlessly maneuver between various cloud-based video conferencing, messaging, and other applications (Zoom, MS Teams, Slack, Workday) as required.
- Experience planning, managing, and driving large-scale events.
- Ability to communicate effectively and professionally.
- Ability to influence others, handle conflict appropriately, and know when to delegate issues upward.
- Ability to occasionally work flexible hours as instructed by the needs of the business/time zones.
Bonus Qualifications
- High-tech industry experience is a plus.
