Role Summary:
Highly organized and detail-oriented Executive Assistant to support 3-4 Global VPs, enabling leaders to operate at scale by ensuring best-in-class administrative and operational support. This role is focused on driving efficiency through exceptional calendar management, coordination of key routines, and seamless execution of day-to-day logistics. The ideal candidate brings agility, responsiveness, and strong attention to detail, with the ability to manage complexity across global time zones while maintaining a high standard of quality and discretion.
Key Responsibilities:
- Own and manage complex calendars across multiple senior leaders, ensuring optimal prioritization, efficient scheduling, and alignment across time zones
- Coordinate logistics for core leadership routines (e.g., team meetings, business reviews, town halls), ensuring smooth execution
- Manage domestic and international travel arrangements, including detailed itineraries and real-time adjustments
- Support meeting preparation through agenda coordination, scheduling, and note-taking as needed
- Track and manage expenses, invoices, and budget-related administrative processes
- Serve as a reliable point of contact for scheduling and coordination across internal and external stakeholders
- Maintain organized systems for documents, communications, and key materials
- Ensure timely follow-ups on administrative actions and deadlines
- Handle confidential information with professionalism and discretion
Qualifications & Experience:
- Experience in an Executive Assistant or administrative support role, ideally supporting senior leaders
- Strong organizational and time management skills, with the ability to manage multiple priorities with accuracy
- High attention to detail and commitment to delivering quality work
- Strong communication skills and a professional, service-oriented mindset
- Ability to operate effectively in a fast-paced, global environment across multiple time zones
- Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and scheduling tools
- Reliable, responsive, and able to execute tasks with minimal oversight
- High level of integrity and discretion when handling sensitive information
What We Offer
Work Location: New York, NY (onsite)
Salary: $82,400 to $97,850.00
