Principle Duties (includes, but is not limited to):

  • Calendar & Scheduling Management: Maintain and coordinate the VP/GM’s calendar, including appointments, meetings, interviews, and other engagements. Ensure timely communication and reminders.
  • Visa and Travel Coordination: Prepare documentation for passports and visas; arrange complex domestic and international travel itineraries, recommending optimal options.
  • Presentation Deck Management: Coordinate with leaders to collate Vertical Review Presentations, President Performance Reports, and IC decks.
  • Project Support: Act as project coordinator, including collecting and analyzing information, planning presentations, tracking progress, and following up on action items across departments.
  • Reporting & Data Consolidation: Consolidate weekly reports and maintain organized filing systems for records and documents.
  • Office Administration: Manage standard office procedures such as scheduling meetings, ordering supplies, answering calls, welcoming guests, and maintaining files.
  • Expense Management: Organize and prepare expense reports using web-based tools, ensuring compliance with company policies.
  • Meeting Support: Attend meetings as requested, record action items, and coordinate planning for on-site and off-site meetings, luncheons, and dinners.
  • Confidentiality & Compliance: Handle confidential and sensitive information with discretion.
  • Additional Responsibilities: Perform other duties as assigned to support the VP/GM and department operations.

Essential Qualifications / Experience:

  • Associate’s Degree in Office Systems and Administration, Business Management, or related field, and at least 5 years of experience working directly for the Executive level.
  • Advanced proficiency in Microsoft PowerPoint, Word, Excel, and Outlook; transcription skills are a plus.
  • Demonstrated experience in executive-level travel planning (both international and domestic).
  • Highest level of confidentiality, professionalism, diplomacy, and ethics when communicating with employees and customers.
  • Ability to take initiative and drive actions/projects to closure, anticipate problems, and make independent decisions when required.
  • Excellent organizational and time management skills to thrive in a fast-paced environment.
