About the Role

We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide high-level administrative, operational, and strategic support to the Owner of a fast-paced U.S.-based personal injury law firm.

This is much more than a traditional administrative role. You will serve as a trusted partner, helping streamline daily operations, coordinate cross-functional initiatives, manage priorities, and ensure the Owner can focus on strategic decision-making and business growth.

The ideal candidate is exceptionally organized, tech-savvy, detail-oriented, and thrives in dynamic environments where priorities can shift quickly. You must be comfortable handling confidential information, coordinating with multiple stakeholders, and proactively solving problems before they arise.

What You'll DoExecutive & Administrative Support
  • Manage the Owner's calendar, including meetings, project deadlines, vendor calls, and leadership appointments.

  • Coordinate daily priorities and ensure the Owner is prepared with agendas, documents, and follow-up items.

  • Organize digital files, shared drives, and internal documentation.

  • Prepare meeting summaries, reports, and action plans.

  • Assist with email management and internal communications as needed.

Legal Operations Support
  • Assist with monitoring operational KPIs, case pipeline metrics, and intake performance.

  • Support workflow compliance and internal operational audits.

  • Coordinate communication between consulting partners and internal teams.

  • Assist with vendor coordination, including medical providers, investigators, and external service partners.

  • Maintain organized operational documentation and support process consistency.

Project & Process Management
  • Track operational initiatives, project timelines, and key deliverables.

  • Monitor progress on SOP updates, training initiatives, and technology implementations.

  • Coordinate meetings, workshops, and internal training sessions.

  • Prepare documentation, checklists, and process guides.

  • Ensure assigned projects remain on schedule and stakeholders meet deadlines.

Communication & Cross-Functional Coordination
  • Draft professional emails, reports, announcements, and internal communications.

  • Facilitate communication between leadership, attorneys, directors, paralegals, intake specialists, and administrative teams.

  • Maintain confidentiality while handling sensitive operational and business information.

  • Serve as a reliable point of coordination across multiple departments.

Reporting & Systems Management
  • Maintain spreadsheets, dashboards, performance trackers, and operational reports.

  • Organize data and documentation to support leadership decision-making.

  • Assist with reporting and process improvements using cloud-based tools and productivity platforms.

What We're Looking ForRequired Qualifications
  • Minimum 3+ years of experience supporting executives, business owners, or senior leadership.

  • Previous experience in:

    • Executive Assistance

    • Operations Coordination

    • Project Coordination

    • Administrative Management

  • Experience within a law firm or professional services environment is strongly preferred.

  • C1 English proficiency or higher (written and spoken) is required.

  • Outstanding organizational and time management skills.

  • Strong attention to detail and ability to manage multiple priorities simultaneously.

  • High level of professionalism, discretion, and emotional intelligence.

  • Advanced proficiency with:

    • Google Workspace

    • Microsoft Office

    • Cloud-based collaboration tools

  • Comfortable learning new software and technology platforms.

  • Ability to work independently in a fast-paced remote environment.

Preferred Qualifications
  • Experience supporting personal injury law firms.

  • Familiarity with legal operations and case management workflows.

  • Experience managing SOPs, operational documentation, or training materials.

  • Previous experience supporting U.S.-based businesses.

  • Experience using project management platforms and reporting tools.
