Executive Assistant

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Owner of a growing U.S.-based Personal Injury law firm.
This role is responsible for helping leadership stay focused on high-value initiatives by managing day-to-day operations, coordinating projects, supporting legal operations, and ensuring priorities are executed efficiently. You will work closely with attorneys, department leaders, vendors, and administrative teams to keep the organization running smoothly.

Executive & Administrative Support
- Manage the Owner's calendar, meetings, priorities, and daily workflow.
- Prepare agendas, meeting notes, reports, and follow-up action items.
- Organize digital files, project documentation, and shared resources.
- Support scheduling and coordination across multiple departments.
- Assist with tracking operational KPIs, case pipeline metrics, and departmental initiatives.
- Support audits of case files, intake processes, and internal compliance procedures.
- Coordinate communication between consulting clients, attorneys, and internal teams.
- Assist with vendor coordination and operational follow-up.
- Monitor operational projects, SOP updates, technology implementations, and training initiatives.
- Track deadlines and ensure assigned tasks are completed on time.
- Support the preparation of training materials, documentation, and internal resources.
- Identify opportunities to improve workflows and operational efficiency.
- Draft professional emails, internal communications, and executive correspondence.
- Coordinate communication between leadership, attorneys, paralegals, intake specialists, and administrative staff.
- Maintain confidentiality while handling sensitive legal and operational information.
- Foster effective collaboration across departments.
Required Qualifications
- Minimum 3+ years of experience supporting executives within a U.S. law firm or professional services environment.
- Experience in U.S. Personal Injury law is required; Georgia Personal Injury experience is a plus.
- Advanced English proficiency (C1 or higher) with excellent written and verbal communication skills.
- Outstanding organizational and time management abilities.
- Strong attention to detail and ability to manage multiple priorities.
- High level of professionalism, discretion, and emotional intelligence.
- Strong problem-solving skills with a proactive mindset.
- Comfortable working independently in a fully remote environment.
- Availability to work during U.S. Eastern Time (EST) business hours.
- Experience supporting law firm owners, executives, or legal operations leaders.
- Experience coordinating operational projects and process improvements.
- Familiarity with legal operations, case management, and performance reporting.
- Experience working in fast-paced, high-growth legal environments.

Skills Required

- Experience in Executive Assistance, Operations Coordination, Project Coordination, or Administrative Management
- C1 English proficiency (written and spoken)

- Advanced proficiency with Google Workspace and Microsoft Office
- Experience with cloud-based collaboration tools and comfort learning new software

- Familiarity with legal operations, case management workflows, SOPs, and training materials
