Position Overview
The Executive Assistant serves as the primary point of contact for Professional Services and provides support for the practice leaders of our Restructuring & Turnaround Management practice. This also serves as a liaison to senior executive management and teams and organizes and coordinates external relations efforts. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will be able to work independently on projects from conception to completion and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. This position will be based in our Chicago office location.
Job Responsibilities:
- Act as a liaison and provide support to all Restructuring senior leaders and staff. Arrange and handle all logistics for meetings and events, including travel: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
- Work with restructuring team to assemble information packets; and prepare materials, contact information, and related items for internal and external parties
- Manage expense reimbursements, including gathering of supporting documentation as needed to align with company policies.
- Complete a wide variety of administrative tasks that facilitate the leaders’ ability to effectively lead the organization, including the following: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists.
- Work with the leaders to coordinate communications and follow up with potential and existing external clients and ensure responsiveness and timely communication.
- Manage hardware, software, desktop support, internal telecommunications, and other strategic systems usage.
- Manage organization and distribution of restructuring KPI and operational metrics.
- Manage restructuring team members’ client/billable expenses and interface with Hilco accounting to ensure appropriate invoicing of clients.
- Support senior restructuring leadership with business development tracking (SalesForce).
- Work with appropriate restructuring staff to maintain working Sharepoint files.
- Onboard Practice Talent: Manage administrative onboarding for incoming consultants and project managers
- Coordinate weekly practice leadership meetings. Draft agendas and track associated action items
- Maintain the practice's sales pipeline within the Salesforce CRM platform. Flag upcoming proposal deadlines
- Maintain and generate varied reports from Salesforce and BigTime
QUALIFICATIONS:
- 5+ years of prior experience as an executive assistant in a Financial Services, Professional Services, or similar industry.
- Bachelor's Degree required or commensurate experience.
- Expert proficiency with Microsoft Office; ability to design and edit graphic presentations and materials.
- Salesforce or BigTime experience a plus.
- Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications).
- Strong verbal and written communication skills
- Exceptional organizational skills and impeccable attention to detail
- High degree of professionalism in dealing with diverse groups of people, including Executive, C-Suite, senior leaders, and team members.

Annual base salary (gross): $100,000– $ 110,000. The base salary range represents the estimated low and high end of Hilco’s salary for this position based on geography. Actual base salaries will vary based on factors such as the candidate’s qualifications, skills, competencies, and proficiency for the role. The base pay is one component of Hilco’s total compensation package for employees. Other rewards and benefits include cash bonuses, long-term incentives, health insurance, accident and life insurance, and retirement benefits.
