We are seeking an Executive Assistant to assist with the company’s operating activities and support the CEO and Leadership Team.
About the role
This is a multi-faceted role in an IT start-up, with enough variability to keep things interesting. We're looking for someone who takes full ownership of their responsibilities, who thinks ahead, is comfortable acting on minimal information, and treats the CEO's time and priorities as their own to manage.
This role reports to the Head of Finance and Operations, with a dotted line to the CEO, and is an integral member of our 3-person Operations team.
Key Responsibilities:
Acting as a trusted partner to the CEO: developing a deep understanding of their working style, priorities, and communication preferences in order to act on their behalf with confidence.
Providing support to the Leadership Team, anticipating needs and managing priorities.
Manage calendars, travel, and communications with discretion and sound judgement.
Building genuine relationships across the team: be someone colleagues trust, collaborate with, and come to for help.
Managing general office operations including ordering supplies and maintaining relationships with regular vendors.
Supporting day-to-day office operations and help create a positive experience for our Auckland-based team.
Assisting with financial administration including credit card reconciliations.
Assist with onboarding and offboarding of employees, maintaining accurate records, assisting with immigration applications, and coordinating international travel arrangements.

Key Qualifications:
Experience in a fast-paced environment, whether as an Executive Assistant, Operations Coordinator, Office Manager, or a similar role.
Someone who is highly organised, detail-oriented, and comfortable managing multiple priorities at once.
Strong written and verbal communication skills, with the ability to build trusted relationships across the company.
Curiosity, adaptability, and confidence in tackling unfamiliar problems and figuring things out independently.
Good judgment, discretion, and the ability to handle confidential information professionally.
A practical problem-solver who enjoys helping others and making things run smoothly.
Experience with Xero, Asana, and Google Workspace is helpful but not required. An interest in technology, startups, or growing companies is a plus.
