Executive Assistant

Role Overview

The Executive Assistant serves as a key partner to Maxwood Furniture's executive leadership team, helping keep priorities organized, schedules running smoothly, and day-to-day operations moving forward.

This role supports both company owners and executive leaders across the organization by coordinating calendars, meetings, travel, communications, projects, and administrative activities. No two days look exactly the same, making this an ideal opportunity for someone who enjoys variety, problem-solving, and helping others succeed.

The ideal candidate is highly organized, proactive, adaptable, and comfortable managing multiple priorities at once. Key ResponsibilitiesExecutive Support
  • Manage calendars, schedules, and meeting coordination for company owners and executive leaders.

  • Coordinate appointments, meetings, conference calls, and special events.

  • Prepare meeting agendas, materials, presentations, and supporting documentation.

  • Attend meetings as needed, capture notes, track action items, and assist with follow-up.

  • Assist with drafting communications, presentations, and internal documentation.

  • Help executives stay organized, informed, and focused on key priorities.

  • Handle confidential and sensitive information with professionalism and discretion.

Coordination & Project Support
  • Track deadlines, action items, and ongoing initiatives across multiple departments.

  • Coordinate cross-functional meetings and ensure follow-up on key deliverables.

  • Support planning and execution of company projects, leadership meetings, and special initiatives.

  • Assist with organizing company events, leadership off-sites, and team activities.

  • Help improve processes and identify opportunities to create efficiency for the executive team.

Travel & Administrative Support
  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and itineraries.

  • Manage expense reporting and reimbursement documentation.

  • Maintain organized digital files, records, and executive documentation.

  • Assist with vendor coordination, document management, and administrative tasks as needed.

  • Provide general support to help ensure smooth day-to-day operations across the executive team.

Qualifications
  • Experience supporting leaders, coordinating projects, managing schedules, planning events, office administration, or similar organizational responsibilities preferred.

  • Exceptional organizational and time management skills.

  • Ability to manage multiple priorities and adapt quickly in a fast-paced environment.

  • Strong written and verbal communication skills.

  • High level of professionalism, discretion, and attention to detail.

  • Resourceful, proactive, and comfortable solving problems independently.

  • Strong proficiency with Microsoft Office Suite, Google Workspace, and other business applications.

  • Ability to build positive working relationships across all levels of the organization.

  • Experience in an administrative, office management, coordination, event planning, or executive support role is a plus.
