Job Description

At KordaMentha, we foster a culture of innovation, collaboration, and excellence. We’re looking for a confident, energetic, high performing, proactive and organised Executive Assistant to support partners within our leadership team in driving success and achieving ambitious goals.

In this key role, you will provide high-level support to our executives and their team which will mainly consist of heavy diary management, coordinating meetings, assisting with events, handling travel, and ensuring smooth daily operations. This is a unique opportunity to work closely with senior leaders in a fast paced, agile and impactful environment as the firm continues to expand.  

Key Responsibilities: 

  • Manage diaries, arrange meetings, and communicate with VIP clients and C-suite executives.
  • Prepare presentations, reports, and correspondence for senior leadership.
  • Coordinate travel and accommodation for executives.
  • Organise client functions, marketing events, and meetings, including technical setup and catering.  
  • Handle incoming calls and emails, ensuring prompt action and follow-up.
  • Assist with invoicing, WIP reports, and CRM updates.
  • Assist with group projects and research requests as required. 
  • Support interstate teams with meetings and events coordination.
  • Provide general administrative support, including document preparation, photocopying, and creating reports.

Qualifications

Minimum of 5 years’ experience as an Executive Assistant. 

  • Outstanding organisational and time management skills.
  • Demonstrated ability to maintain professionalism in all interactions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Confident navigating multiple technology platforms including CRM systems, SharePoint, and video conferencing tools.
  • Proven capability to manage competing priorities and meet multiple deadlines.
  • Resilience under pressure and ability to thrive in fast-paced environments.
  • Strong initiative and accountability in managing responsibilities.
  • Ability to work autonomously and collaboratively within a dynamic team.
  • Excellent verbal and interpersonal communication skills.
  • Flexibility in working hours and adaptability to shifting priorities.
  • High attention to detail and commitment to quality.
  • Willingness to take a hands-on approach to tasks and challenges.
