Role Overview
The Executive Assistant provides high-level administrative and operational support to senior leadership, ensuring effective management of priorities, seamless coordination across stakeholders, and efficient execution of business activities. This role requires strong business acumen, discretion, and the ability to operate in a fast-paced, matrixed environment.
Key Responsibilities
Executive Support
Manage complex calendars, scheduling across multiple time zones and prioritizing critical meetings
Coordinate domestic and international travel, including itineraries, visas, and internal approval
Prepare briefing materials, presentations, and meeting agendas
Act as a gatekeeper to optimize leader's time and focus
Provide proactive ad-hoc administrative and operational support as required by senior leadership
Stakeholder & Communication Management
Serve as a key liaison between the executive and internal/external stakeholders
Manage correspondence, including drafting emails, memos, and reports
Facilitate communication across regional and global teams
Meeting & Event Coordination
Organize leadership meetings, town halls, and offsites
Prepare minutes, track action items, and follow up on deliverables
Coordinate logistics for executive meetings, press events, conferences, and client engagements, including transport, meals, venues, and on-site arrangements
Operational Excellence
Drive administrative processes (procurement, vendor coordination, expense management)
Maintain organized filing systems and documentation
Identify opportunities to improve workflow efficiency and implement best practices
Assist with audit, legal, and compliance documentation, including preparation, coordination, and delivery of signed and original materials
Assist people team on HR related tasks including employee onboarding and exit support
Expense, Finance & Payment Support
Support executive expense management, including tracking T&E and preparing expense report
Coordinate with Finance & vendor to support office daily operation including payment & contract renewal
Work with Finance to support on Tax related tasks
Confidentiality & Governance
Handle sensitive and confidential information with the highest level of discretion
Ensure compliance with internal policies and corporate governance standards
Qualifications & Experience
Bachelor's degree or equivalent experience
5-10 years of experience supporting senior executives in a multinational environment
Strong organizational and multitasking capabilities
Excellent written and verbal communication skills (English required; Cantonese/Mandarin preferred)
High proficiency in Microsoft Office (Outlook, PowerPoint, Excel)
Experience in financial services or technology sectors is an advantage
